Overview
Seeking a Senior Administrative Assistant who serves as a proactive, high‑judgment partner to an executive leader. This role blends strong traditional administrative support with advanced organization skills, critical thinking, and the ability to manage complex information, materials and workflows. The ideal candidate anticipates needs, ensures the executive is fully prepared for meetings and events, and navigates shifting priorities with calm efficiency.
PrimaryResponsibilities
- Work independently and prioritize workflow effectively.
- Facilitate proactive calendar management, including scheduling, rescheduling, and off‑site planning for meetings and townhalls.
- Handle accurate and timely task management: travel coordination, expense reports, system (Workday) delegation, weekly summaries, etc.
- Interact professionally with Bank executive management, senior leadership and committee members, responding promptly to questions and organizational matters.
- Accurately compile, reconcile and verify documents such as meeting materials, departmental reporting and financial expense records.
- Maintain up‑to‑date files, including Department Team Sites, organizational charts, and related materials.
- Prepare and arrange business presentations and communications, ensuring timely preparation, accuracy and professionalism.
- Actively support the Executive Administrative Assistant in managing floor and work spaces, equipment, supplies, catering and related communications.
- Coordinate and support departmental activities such as in‑person team meetings, new‑hire onboarding and special events.
- Serve as a liaison between the manager and bank personnel, responding to questions and issues on departmental matters.
- Handle routine matters in the manager’s absence.
- Adhere to applicable compliance and operational risk controls in accordance with Company and regulatory standards and policies.
- Promote an environment that supports belonging and reflects the M&T Bank brand.
- Maintain M&T internal control standards, including timely implementation of internal and external audit points and external regulator issues.
- Complete other related duties as assigned.
- Associate’s degree or equivalent in experience.
- Four years of progressive secretarial/administrative support experience with demonstrated on‑the‑job skill development.
- Strong calendar and schedule management skills.
- Skilled in managing travel logistics, itineraries, and contingency planning for high‑visibility engagements.
- Evidence of ownership of mistakes and proactive prevention of future occurrences.
- Sound judgment in decision‑making and strict confidentiality.
- High accuracy and strong attention to detail.
- Effective communication and professional presentation in all interactions.
- Relationship building grounded in trust, integrity and transparency.
- Ability to thrive in ambiguous, frequently changing environments while maintaining focus.
- Consistent management of multiple tasks, priorities and deadlines.
- Operation with minimal daily supervision while meeting objectives.
- Technically savvy with troubleshooting and resourceful problem‑solving skills.
- Capability to prepare and distribute timely documentation, reports and presentations.
This position is fully onsite, reporting five days a week to One M&T Plaza in Buffalo, NY. The pay range for this position is $20.55 – $34.25 per hour (USD). The successful candidate’s combination of knowledge, skills and experience will determine the specific compensation within this range.
