FULLY REMOTE MUST BE LOCATED IN NY, CT, or MA
EXECUTIVE ASSISTANT
Duration: 12 month contract with extensions and possible conversion
Pay Rate: $40-$50/hr
Location: Fully Remote
Must-Haves:
- AA/AS degree and 6+ years of relevant administrative experience
- Executive administrative support experience
- Strong calendar management and scheduling experience
- Experience coordinating domestic and international travel
- Proficiency with Microsoft Office Suite (M365, Outlook, Word, Excel, PowerPoint)
- Excellent organizational, multitasking, and time management skills
- Ability to work in a fast-paced, versatile environment
- Strong attention to detail and ability to maintain confidentiality
- Experience communicating across multiple teams, stakeholders, and time zones
- Ability to navigate large organizations and support senior leadership
Plusses:
- Experience supporting multiple executives simultaneously
- Experience in a manufacturing, OEM, engineering, or technical environment
- Site operations or office management experience
- Visitor management and conference room coordination experience
- Safety and environmental readiness coordination experience
Day-to-Day:
- Manage executive calendars and coordinate meetings
- Schedule and support internal/external meetings and video conferences
- Resolve scheduling conflicts and maintain calendar accuracy
- Anticipate executive and stakeholder needs related to meetings and events
- Represent leadership professionally when interacting with internal and external partners
- Drive team communications and follow-up correspondence
- Coordinate domestic and international travel logistics
- Process expense reports and mileage reimbursements
- Prepare conference rooms, catering, and meeting logistics
- Maintain organizational charts and administrative documentation
- Support special projects and additional administrative initiatives
- Coordinate onsite visitor workflows and arrival processes
- Support visiting teams with workspace, materials, and resources
- Manage conference room readiness, technology setup, and supplies
- Assess site safety and environmental readiness needs and elevate concerns
- Route invoices and provide general site operational support
