A highly regarded and growing wealth management firm in Buffalo, NY, is seeking an experienced Executive Assistant to the CEO to serve as a trusted partner and provide high-level executive, administrative, and day-to-day support.
This is a highly visible role for someone who is exceptionally organized, proactive, polished, and comfortable operating in a fast-paced environment where priorities can shift quickly. The Executive Assistant will work closely with the CEO and play an important role in ensuring their time, schedule, communications, travel, and priorities are managed seamlessly.
What You’ll Do- Manage a complex and evolving executive calendar, including meetings, appointments, and scheduling priorities
- Coordinate domestic travel, accommodations, itineraries, reservations, and related logistics
- Prepare the CEO for meetings by ensuring necessary information, materials, and details are organized in advance
- Manage correspondence, communications, follow-ups, and other administrative priorities
- Coordinate internal and external meetings with clients, business partners, team members, and other stakeholders
- Anticipate needs, identify potential scheduling or logistical issues, and proactively solve problems
- Assist with occasional personal scheduling, reservations, errands, and other day-to-day needs that allow the CEO to remain focused on the business
- Handle sensitive and confidential information with exceptional judgment and discretion
- Serve as a professional and polished point of contact on behalf of the CEO
- Partner with the broader team to ensure priorities and commitments remain organized and on track
- Take ownership of special projects and additional responsibilities as needs arise
- Previous experience supporting a CEO, founder, business owner, or senior executive
- Exceptional organizational and time-management skills
- Strong calendar management and travel coordination experience
- Ability to manage multiple priorities while maintaining close attention to detail
- Proactive mindset with the ability to anticipate needs rather than wait for direction
- Excellent written and verbal communication skills
- High degree of professionalism, maturity, and discretion
- Strong interpersonal skills and the ability to interact comfortably with executives, clients, and external partners
- Resourceful, adaptable, and comfortable solving problems independently
- Willingness to support both business and occasional personal priorities as part of a true executive partnership
This is more than a traditional administrative position. The Executive Assistant will become a trusted right hand to the CEO, helping create structure, protect their time, and ensure both major priorities and small details are handled with a high level of care.
