Seeking a FULL TIME GME Training Program Coordinator

Department:
Surgery (GME)

Reports to:

GME Administrative Director, Program Director(s)

Pay Range: $23.00-$26.00 Hourly

Position Summary:

Coordinates and assists with the day-to-day operations of surgical Graduate Medical Education (GME) programs. Work collaboratively with the Surgery GME Team, Program Director, Associate Directors, Director of Surgical Education, Faculty, Trainees and other individuals within the hospitals or medical school.

Essential Functions:
  • Assist with tasks for successful coordination of surgical residencies and fellowships.
  • Distribute instructions, track compliance, and follow up, for resident and faculty activities.
  • Assist with tasks to meet accreditation requirements.
  • Generate reports of information as requested.
  • Coordinate program meetings: reserve rooms, order meals, email correspondence, take notes, and maintain documentation.
  • Coordinate educational activities: logistical coordination and update calendars.
  • Reference Surgical Board Regulations as needed to complete assigned tasks.
  • Organize recruitment processes.
  • Offer support for trainee personnel matters.
  • Coordinate smooth transitions for trainees entering and exiting the program.
  • Create accurate, informational materials for distribution.
  • Organize and proctor educational exams.
  • Reference program files to complete information requests for outside parties. May be via submission of a paper form or data entry into electronic system.
  • Respond to faculty and trainee requests for information and assistance.
  • Provide administrative support as needed.
  • Assist with fiscal operations.
  • Assist with annual quality improvement process.
  • Reference national society information and recommendations as needed.
  • Coordinate faculty development initiatives
  • Organize wellness initiatives.
  • Communicate GME related information through social media, web site, email, advertising, etc.
  • Assists and provides back‑up support to other personnel, including GME coordinators, and other personnel as needed/assigned by supervisor.
  • Complete special projects as assigned.
  • Alert GME leadership of any identified issues so appropriate action can be taken.
  • Maintains normal office activities: scanning, copying, faxing, filing, order supplies
  • Maintains discretion relative to confidential and sensitive information.
Qualifications

Education:

Bachelor’s Degree preferred. Associate’s Degree and/or High school Diploma will be considered if candidate also possesses at least three years of related experience.

Experience/

Qualifications:
  • Graduate Medical Education experience not required, but preferred.
  • Strong communication and interpersonal skills
  • Excellent organizational skills: multi-tasking, prioritizing, attend to detail
  • Ability to remain flexible, and maintain composure in a changing environment.
  • Proficient in Microsoft Word and Excel.
