Student Recruitment & Enrollment Specialist – Temporary Position Summary

The Temporary Student Recruitment & Enrollment Specialist will support the enrollment strategy for the Say Yes Little Scholars  school year. This position is responsible for identifying, engaging, recruiting, screening, and enrolling eligible scholars and families. A key responsibility of this role is ensuring prospective families residing within the city of Buffalo meet eligibility requirements for the Erie County Child Care Subsidy Program and assisting families through the subsidy application and enrollment process.

Responsibilities

& Activities Recruitment & Outreach
  • Identify and recruit families who may be eligible for the Erie County Child Care Subsidy Program.
  • Conduct preliminary eligibility screenings and provide families with information regarding subsidy requirements and enrollment processes.
  • Collaborate with Erie County subsidy staff and community partners to support timely enrollment and verification of eligibility.
  • Conduct outreach through phone calls, text messaging, email campaigns, community events, canvassing, and partner referrals.
  • Represent Say Yes Little Scholars at community events and outreach opportunities.
  • Build and maintain relationships with community organizations, childcare providers, schools, faith-based organizations, and referral partners.
  • Maintain a consistent pipeline of prospective families and recruitment leads.
Enrollment & Application Processing
  • Assist families with completion of required enrollment documentation.
  • Ensure all enrolled scholars meet program and funding eligibility requirements.
  • Process applications accurately and in a timely manner.
  • Conduct timely follow-up with prospective families to ensure enrollment completion.
  • Monitor application status and proactively address barriers to enrollment.
  • Maintain courteous, professional, and responsive communication with families.
Enrollment Monitoring & Data Management
  • Maintain recruitment databases, enrollment records, and tracking systems.
  • Monitor funded enrollment, vacancies, waitlists, and enrollment status.
  • Ensure vacancies are filled as quickly as possible through active waitlist management and outreach efforts.
  • Track recruitment activities, referrals, applications, enrollment conversions, and enrollment outcomes.
  • Prepare weekly recruitment and enrollment reports for leadership review.
  • Maintain accurate documentation and ensure confidentiality of all family information.
Performance Expectations
  • Support achievement of the program goal of fully enrolling 112 scholars for the  school year.
  • Ensure enrolled families meet both City of Buffalo residency requirements and Erie County Child Care Subsidy eligibility requirements.
  • Maintain consistent outreach activities focused on Buffalo neighborhoods with the greatest resources.
  • Maintain consistent follow-up efforts throughout the assignment.
  • Ensure applications and enrollment documentation are processed accurately and timely.
  • Meet weekly outreach, application, and enrollment benchmarks established by program leadership.

Salary $30.00 per hour (6-7 weeks) up to 40 hours. $1,000 completion bonus if agreed-upon enrollment benchmarks are achieved.

Minimum Requirements:
  • Associate’s degree required;
    Bachelor's Degree preferred in Human Services, Education, Communications, Marketing, Business Administration, Social Work, or a related field.
  • Minimum one (1) year of experience in recruitment, enrollment, admissions, outreach, customer engagement, sales, case management, or community-based work.
  • Experience recruiting and enrolling families into publicly funded early childhood, childcare, Head Start, Early Head Start, preschool, educational, or family-serving programs preferred.
  • Knowledge of City of Buffalo residency requirements and Erie County Child Care Subsidy eligibility, application, and enrollment processes.
  • Familiarity with Buffalo neighborhoods, community resources, and family-serving organizations.
  • Existing relationships with community-based organizations, schools, faith-based institutions, and family-serving agencies within the City of Buffalo are preferred.
