The Role
We are seeking a detail‑oriented Mortgage Trailing Documents Specialist to support our post‑closing mortgage operations. This role ensures all mail, trailing documents, credit files, and closing packages are properly received, audited, and updated within the mortgage production system. The ideal candidate is organized, proactive, and comfortable collaborating with settlement agents, title companies, and internal teams.
Primary Responsibilities- Track receipt of mail, trailing documents, credit files, and closing packages; update the mortgage production system accordingly.
- Match credit files and closing packages to prepare and scan them into imaging software.
- Update file‑tracking software and process barcodes for credit files.
- Ensure all checks received within closing packages are processed accurately and in a timely manner.
- Audit trailing documents—including Mortgages, Assignments, Consolidation Agreements (CEMAs), and Final Title Policies—ensuring they meet investor guidelines and align with the data in the mortgage production system.
- Contact settlement agents and title companies (via phone, fax, or email) to request outstanding documents or required corrections.
- Complete assigned projects independently or collaboratively within a team environment.
- Generate and follow up on daily department reports as needed.
- Communicate document‑related exceptions to impacted internal areas as they arise.
- Adhere to compliance and operational risk controls in accordance with company and regulatory standards.
- Support a workplace culture that values diversity and professionalism.
- Maintain strong internal control standards and support timely resolution of internal/external audit findings.
- Perform other related duties as assigned.
This role works closely with both internal and external partners, including co‑workers, Loan Production Office staff, settlement agents, and title companies. Strong communication skills and a customer‑service mindset are essential.
Qualifications- Experience in mortgage operations, post‑closing, or document management.
- Ability to audit documents with precision and attention to detail.
- Strong communication skills when working with settlement agents and title companies.
- Proficiency with mortgage production systems and imaging/file‑tracking software.
- Ability to manage multiple tasks in a fast‑paced environment.
- Strong organizational and time‑management skills.
This is a contract position based out of Williamsville, NY.
Pay And BenefitsPay range: $23.00–$23.00 per hour.
