Job Summary

Manage proposal development, including budget and related pre‑award activities for a diverse sponsor portfolio. Manage post‑award activities, including account setup, monitoring and review of all sponsored projects expenditures, identifying incorrect transactions and taking corrective action, reconciling, and distributing internal reports. Meet with principal investigators to discuss and advise them on financial issues related to their portfolios. Monitor and enforce compliance with sponsor guidelines and OMB Uniform Guidance.

Work with the payroll coordinator to ensure faculty and staff are paid correctly. Create, manage and track subcontracts in RIS/MTAs and follow up through execution; generate purchase orders, track and maintain subcontract expenses; review and validate incoming invoices; enter receipts; reconcile subcontracts to ensure consistent spending; track outstanding accounts receivable and process for payment.

Grants ManagerB:
The Grants ManagerB will work more independently and actively participate in specific projects, including the annual budget submission. The Grants ManagerB will handle more complicated grants, including training grants and program projects with multiple sub‑contracts. It is expected that the candidate will have greater grants‑management experience than the Grants ManagerA candidate, enabling greater contributions, including financial analysis. The Grants Manager reports to the Administrative and Financial Officer within the Department of Hematology/Oncology and has a dotted reporting line to the Department of Medicine.

Responsibilities

(Grants ManagerA)
  • Provide pre and post‑award research and financial administration support for individual investigators in the department.
  • Monitor grant expenditures for compliance and take or recommend corrective actions as needed.
  • Work with payroll coordinators and purchasing and accounts payable to ensure appropriate expenses are allocated to grant funds.
  • Produce and distribute specialized research‑related financial reports for investigators.
  • Meet monthly to review their funds and total research portfolio.
  • Advise faculty within the department on university policies and procedures.
  • Manage post‑award activity for the department to ensure issues are resolved in a timely and effective manner in accordance with university policy.
  • Provide liaison to across research departments.
  • Provide guidance to faculty and staff concerning electronic submission of grant activities.
  • Assist in preparation and submission of reports.
  • Other duties and responsibilities as assigned.
Responsibilities (Grants ManagerB)
  • Manage post‑award processes, including closeout, monitoring and review of all charges to sponsored projects, and audit requirements for federal awards, and enforce compliance with other sponsor guidelines.
  • Manage and direct proposal development, budget development and related pre‑award issues for a varied sponsor portfolio.
  • Oversee payroll on grants and work closely with the human resources team to ensure accuracy of salary distribution, effort reporting and other payroll‑related issues.
  • Meet with Principal Investigators to review financial issues with their research programs and to secure their approval of reports.
  • Other duties and responsibilities as assigned.
Qualifications (Grants ManagerA)
  • Bachelor of Science and 3 to 5 years of experience or an equivalent combination of education and experience is required.
Qualifications (Grants ManagerB)
  • Bachelor of Science and 5 to 7 years of experience or an equivalent combination of education and experience is required.
  • Position is contingent upon continued funding.
