Pay Range: $17.00–$20.00 per hour

UB Associates, Inc. provides comprehensive human resources support to multiple UBMD practice plans affiliated with the University HR team supports healthcare providers and administrative professionals across multiple clinical entities, ensuring compliance, operational excellence, and a positive employee experience.
We are seeking a motivated and detail-oriented HR Assistant to support HR operations across multiple UBMD practice plans. This entry-level role provides administrative and operational support to the HR team and plays a key role in recruitment coordination, onboarding, employee records management, benefits administration, and general HR processes.
This position offers valuable exposure to multi‑entity HR operations within a healthcare setting and is ideal for candidates looking to begin and grow their career in Human Resources.
Key ResponsibilitiesRecruitment & Onboarding Support
- Assist with job postings and recruitment coordination across multiple practice plans
- Schedule interviews and communicate with candidates and hiring managers
- Prepare offer letters and onboarding documentation
- Facilitate new hire onboarding processes
- Ensure timely completion of employment paperwork, I-9 verification, and required compliance documentation
- Maintain accurate employee personnel files and electronic HR records
- Enter and update employee data in HRIS systems
- Track licensure, certifications, and credentialing documentation for healthcare staff
- Assist with workforce reporting and HR data tracking
- Support benefits enrollment processes and respond to basic employee inquiries
- Assist with leave tracking (FMLA, PTO, etc.) and related documentation
- Provide professional and timely customer service to employees across supported practice plans
- Support adherence to federal, state, and local employment laws
- Assist with maintaining compliance documentation related to healthcare regulatory requirements
- Help coordinate policy updates and internal HR communications
- Prepare HR correspondence and employment verification letters
- Support HR projects and organizational growth initiatives
- Assist with employee engagement initiatives
- Provide general administrative support to the HR team
- High school diploma required
- Associate’s or Bachelor’s degree in Human Resources, Business Administration, or related field preferred
- 0–2 years of administrative, HR, or healthcare office experience
- Strong organizational skills with ability to manage responsibilities across multiple entities
- Excellent written and verbal communication skills
- High level of discretion when handling confidential information
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Strong attention to detail and accuracy
- Experience in a healthcare or multi‑entity environment
- Familiarity with HRIS or payroll systems
- Basic knowledge of employment law and HR best practices
- Understanding of healthcare compliance or credentialing processes
- Professionalism and strong customer service orientation
- Ability to prioritize and manage tasks in a fast‑paced environment
