The Parts Specialist supports the technical team by identifying and sourcing parts required for equipment repairs. This role is responsible for researching availability of parts through OEMs and alternative vendors, especially for hard-to-find or obsolete components. The specialist partners closely with technicians to identify suitable solutions and ensures timely communication of part availability, lead times, and potential alternatives.

This position is research-focused and works cross-functionally with procurement, who handles purchasing activities.

Key Responsibilities
  • Partner closely with technicians to identify parts needed for repairs and service work.
  • Research and locate parts through OEMs, distributors, and alternative vendors, including hard-to-find or obsolete components.
  • Identify and recommend substitute or equivalent parts when original components are not available.
  • Conduct online research and vendor outreach to determine availability, specifications, and lead times.
  • Collaborate with procurement by providing accurate sourcing information to support purchasing decisions (no direct buying responsibility).
  • Track and document part availability, lead times, and sourcing outcomes.
  • Maintain and update parts database and sourcing records.
  • Coordinate with internal teams regarding outsourced repairs when parts or services cannot be completed in‑house.
  • Monitor and follow up on open research requests to ensure timely resolution and support repair timelines.
Qualifications / Skills
  • Strong online research and problem-solving skills.
  • Experience sourcing parts, components, or equipment (industrial, mechanical, or electronics preferred).
  • Ability to identify alternative or substitute components when OEM parts are unavailable.
  • Strong organizational skills with the ability to manage multiple requests simultaneously.
  • Effective communication skills for working with technicians and internal teams.
  • Detail-oriented with the ability to document findings clearly.
  • Familiarity with parts databases, inventory systems, or ERP systems is a plus.
