The Construction Administrator delivers professional and responsive support to both internal teams and external customers. This role supports the Testing team and serves as the primary liaison between clients and the Testing Department. The Administrator oversees daily administrative operations, including coordinating customer communications, maintaining and managing data, processing testing agreements, and preparing reports as required. Key responsibilities include managing and tracking testing orders, assisting with the development and implementation of policies and procedures, overseeing billing functions, and maintaining the service board.

Essential Functions:

  • Communicate daily with team members and customers by phone, email, and through the company system.
  • Manage time effectively to meet deadlines and keep all assigned tickets updated in the CRM system.
  • Help coordinate department work to ensure tasks are completed efficiently and follow company policies.
  • Provide administrative support to Account Executives, Lead Testing Technicians, and Department Managers. Assist with testing contracts and renewals to prevent service interruptions.
  • Set up new customers, vendors, and subcontractors by collecting required documents and entering accurate information into the CRM system.
  • Keep service boards updated so the team always has current and accurate information.
  • Help manage the testing schedule by reviewing the calendar, assigning and updating tickets, and communicating schedules to customers and technicians.
  • Serve as a primary point of contact for customers. Conduct follow-up calls to ensure services meet agreement terms and quality standards, and identify ways to improve the customer experience.
  • Work with billing and collections to support timely communication, assist with documentation or corrections, and record all related activities in the CRM system.

Position Requirements:

  • 2+ years of experience in an administrative support role
  • Proficient in Microsoft Office and Adobe Acrobat
  • High school diploma or equivalent
  • Reliable, punctual, and maintains consistent attendance

Physical Demands & Work Environment:

  • Ability to make repetitive movements (motions) of the wrists, hands, and/or fingers, daily
  • Ability to walk, bend, stoop, hear, and speak, daily
  • Move/Transport items weighing 20 pounds, occasionally
  • Stand or Sit for long periods (4+ hours), daily
  • Work is performed in an office environment
