CrewHQ Office Coordinator
Situated at Stage 31 on the iconic Warner Bros Studios Burbank lot, CrewHQ | US provides wrap-around workforce development that addresses local skills gaps, from upskilling existing crews and department heads to best-in-class trainee programs, to initial industry exposure with emerging talent. Our slate of upskilling and entry-level training programs supports departments including, but not limited to, production office, finance, construction, costume, camera, locations, and post-production.
This role will be responsible for supporting the day-to-day operations of Crew HQ on the Warner Bros Studios lot in Burbank. In partnership with the CrewHQ team, the Office Coordinator will play a key role in ensuring daily operations run smoothly, supporting workflow protocols and procedures, and supporting talent database and program coordination. The CrewHQ Office Coordinator will greet and host visitors and key partners and support daily activities, ensuring smooth execution of CrewHQ operations.
It is an essential function of this position that the work be performed entirely from the WB Studios Burbank; being on site in the office five (5) days a week is critical.
Your Role Accountabilities
- Administrative Support:
Support VP, Inclusion Business Partner & Head of Crew HQ US with daily calendar and administrative support. Act as a go-to person for staff inquiries, handling mail/shipping, ordering supplies, and maintaining filing systems. - Logistics Support :
Event coordination (Food and Beverage / Vendor Relationship Management, travel coordination, creating marketing materials) - Office Operations & Facilities:
Ensure Crew HQ Burbank at Stage 31 is functional, safe, and welcoming, including coordinating with Studio Operations and Facilities Management, overseeing vendors, and managing the office layout on an ongoing basis. - Onboarding:
Supporting P&C with the induction of new staff to the office, crew and production teams visiting the site, and industry partners co-habitating the office (e.g. Hollywood CPR) - Financial Administration:
Managing office budgets, processing invoices, expense claims, and vendor purchasing orders. - Crew
Experience:
Promote a creative, inclusive and collaborative atmosphere, managing site amenities (crew lounge, communal kitchen), and supporting on-site employee and industry engagement activities. - CrewHQ US Key Partners & Stakeholder Support:
Establish and maintain relationships with key internal stakeholders, including Heads of Production Divisions, Production Executives, Studio Operations, Labor Relations, Production HR, WB Studio Legal, Corporate Social Responsibility, Inclusion Pipeline Programs, Government Affairs, Corporate Strategy, People & Culture and Inclusion Business Partners, Talent Acquisition, and Learning and Development, to drive CrewHQ US goals. - Education Outreach & Community Partnerships :
Liaise with Education Outreach and Community Partnership leads to ensure cohesion, collaboration and amplification in support KPI's and Crew HQ initiatives.
Qualifications & Experience
- 4+ years of experience in office coordination, workplace operations, or facilities management or equivalent work experience.
- Proficient in Microsoft Office Suite Admin Support:
Office management (calendars, expense management, etc.);
Microsoft Office Suite:
Outlook, Excel (intermediate), PowerPoint, Word and Canva; communications planning, budget and expense management - High attention to detail, strong communication skills, self-motivated, understands the importance of confidentiality, effective time and project management, flexible
- Solid understanding of production, corporate and studio operations and processes within the US film & TV industry
- Experience working with external partner organizations (industry, community / non-profit, educational) and basic understanding of union protocols, pathways, and labor relations preferred.
- Experience working with project management & collaboration tools (Air Table, Asana, Teams, Slack) and vendor & AP Management software (SAP, Ariba, Concur) a plus
