Sr. Executive Assistant
The Sr. Executive Assistant provides high‑quality proactive administrative support to the President of Production Services, Franchise Management & Theatrical Distribution while working in a dynamic, fast‑paced environment. In partnership with the department Chief‑of‑Staff, the assistant prioritizes and executes day‑to‑day objectives to keep the office organized, agile and responsive. This position is with Walt Disney Pictures, part of The Walt Disney Studios.
Responsibilities- Manage the President’s calendar, collaborating with the Chief‑of‑Staff on schedules, meetings, appointments, events and mandated travel.
- Handle incoming phone calls, messages and priority call lists.
- Prepare, organize and submit expense reports.
- Provide meeting documents and agendas to the President prior to each meeting.
- Liaise with executives, talent and external assistants.
- Serve as the administrative lead for the President’s office and work with departmental assistants and coordinators on coverage and management.
- Maintain office systems, workflows and priorities to ensure smooth operations.
- Take initiative to anticipate needs and act decisively with independent judgment.
- Coordinate logistics and preparation for internal and external events.
- Partner with Chief‑of‑Staff and the Leadership team to coordinate departmental events, town halls and off‑sites.
- Represent the President and the department professionally while preserving confidentiality and exercising diplomacy.
- File, organize and maintain all important documents, files and records.
- Manage mail into and out of the office.
- Support ad‑hoc projects as necessary.
- Five or more years of administrative experience supporting a senior‑level executive in an agency, production or studio environment.
- Positive, proactive, independent and resourceful problem‑solving skills.
- Detail‑oriented with the ability to work under pressure and maintain professionalism.
- Proficient in managing complex schedules and multi‑project prioritization.
- Excellent written and verbal communication skills.
- Strong computer literacy and proficiency with SAP, Concur and Workday; working knowledge of Microsoft Office Suite and Keynote preferred.
- Ability to handle confidential information.
- Strong interpersonal skills and team collaboration.
- Judgment and discretion in navigating complex situations.
- Willingness to work overtime on evenings and weekends as needed and approved.
- Must be available to work onsite in Burbank, five days per week.
- Bachelor’s degree or equivalent work experience.
