Office Administrator/ Coordinator
Position Overview:
As a Project Coordinator, you will report to the Senior Project Manager and play a vital role in supporting the planning, coordination, and successful execution of projects across the organization. Working closely with Project Management, Design, Engineering, Production, and other cross-functional teams, you will facilitate project communications, coordinate workflows, document meetings and action items, maintain project documentation and reporting, monitor project progress, and provide administrative support to help ensure projects are delivered on time, within budget, and to TechMDInc quality standards.
You will serve as a key point of coordination between internal teams, clients, vendors, and field personnel while maintaining accurate project records, supporting timely communication, and helping keep project activities organized and on schedule. Success in this role requires exceptional organizational skills, attention to detail, proactive communication, and a commitment to continuous professional development through ongoing learning and industry engagement.

- Project Coordination & Communication
- Work closely with internal teams to ensure project elements are delivered on time, within budget, and meet quality standards
- Document and follow up on important actions and decisions from meetings
- Coordinate with all team members to keep workflow on track
- Monitor project progress and suggest adjustments as necessary
- Support all communication flow between internal teams, vendors, clients and field personnel
- Manage all data entry and follow-up supporting project management team
- Manage project-related paperwork, ensuring all materials are current, complete, and properly stored
- Generate weekly project status reports

- Maintain professional and technical knowledge through workshops, publications, networking, and professional societies

- 2+ years in a Coordinator role (within the themed entertainment industry strongly preferred)
- Excellent project management skills, including the ability to help develop and maintain plans and timelines
- Proven experience within complex technical design projects from conception to completion in a fast-paced environment
- Proficient with MS Office – with expertise in Excel and creating and managing complex data
- Experience with Google Workspace
- Ability to diagnose project workflow problems quickly and have foresight into potential issues
- Outstanding communication skills, both written and verbal
- Ability to multitask and manage competing priorities
- Detail-orientated with a strong focus on quality
- Previous experience in the themed entertainment industry or A/V for construction
- Bachelor’s degree in related field or equivalent experience
- Proficient in production/project management software such as Wrike and Quick Base
- Basic understanding of audio, video, lighting and control system functionality
- Ability to lift equipment weighing up to 25 pounds to a height of 3-4 feet and load them into trucks
