Data Entry, Office Administrator/ Coordinator
Reporting to the Town Engineer, the Procurement Specialist-DPW performs administrative, technical and clerical work in support of procurement, purchasing, contract administration, and related operational functions for the Department of Public Works Engineering office.
Essential functions- Provide administrative and procurement support to the DPW Engineering Division.
- Coordinates and supports DPW procurement activities, including preparation and processing of purchase orders, requests for quotes, bids, and contract documentation in accordance with Massachusetts procurement requirements and Town policies.
- Assists with contract administration, including maintaining contract files, tracking renewals, and budgets.
- Services as liaison with vendors, contractors, and internal departments regarding procurement and purchasing matters.
- Input and maintain in database and/or GIS format: the plan imaging system, utility permitting, other Town infrastructure, records and filing systems.
- Maintain accurate departmental records and filing systems.
- Preparing and maintain forms, reports, and correspondence and related information for office.
- Assists with tracking departmental expenditures, purchase activity, and budget-related documentation for DPW Engineering projects.
- Process invoices and payment for the department.
- Five years of administrative, procurement, purchasing, or related experience, preferably in municipal or public‑sector environment.
- Strong organizational skills with attention to detail and ability to manage multiple priorities.
- Ability to maintain accurate records and documentation.
- Proficiency with standard office software and electronic record‑keeping systems.
- Designation as a Massachusetts Certified Public Purchasing Official (MCPPO), or the ability to obtain certification within 6 months of employment.

This is a union position within the Burlington Municipal Employees Association bargaining unit. Salary is within Grade 7, of the BMEA contract. Pay range starts at $31.61/hr., with opportunity to advance to a max rate of $45.16/hr via annual step increases. This is a full‑time position, 35 hours per week, and includes comprehensive & generous benefits.
