Position Summary
The Office Manager is fully responsible for the day‑to‑day operations, efficiency, and overall workplace experience across all MBX office locations, including lab‑related partnerships and needs. This role ensures a well‑functioning, organized, and engaging environment by proactively managing office functions, vendor relationships, space utilization, and onsite logistics. In addition to overseeing multi‑site operations, the Office Manager plays a key role in coordinating Together Weeks and other company‑wide initiatives that strengthen the employee experience and foster a connected MBX community.
They also support the planning and execution of large meetings and events, enabling seamless collaboration.
The Office Manager owns all aspects of office operations and outcomes, acting as a strategic partner in shaping the workplace to support productivity, connection, and company culture. They are expected to anticipate needs, solve problems proactively, and continuously improve the workplace experience to meet evolving business and employee demands.
Key Responsibilities- Own and manage all aspects of office operations, ensuring a seamless and high-quality workplace experience
- Serve as the main point of contact for the company's “together weeks”.
- Provide full-time, proactive oversight of daily office needs, functions, policies, and procedures
- Serve as the central point of contact for all office-related coordination and inquiries
- Serve as the primary liaison with the landlord and onsite building management, coordinating facility‑related requests, maintenance activities, access needs, and issue resolutions
- Manage vendor relationships (cleaning, maintenance, supplies), including contracts, renewals, and performance
- Oversee facilities management, including repairs, maintenance planning, office improvements, and space optimization
- Track and manage the office budget, approvals, and identify cost savings opportunities
- Anticipate needs, maintain inventory levels, and oversee ordering and cost control
- Plan and execute employee engagement initiatives, in‑office events, onboarding, and culture‑building activities
- Coordinate new hire setup, including IT needs, workspace, equipment, access, and welcome experience
- Manage workspace strategy, including seating arrangements, hybrid schedules, growth planning, and continuously improving processes, policies, and long‑term solutions
- Ensure the office reflects the company brand, values, and culture
- Create a consistent and positive experience for visitors, candidates, and employees.
- May present key office updates and metrics at respective company meetings as needed
- Other responsibilities as assigned
- 5+ years of experience in office management, workplace operations, facilities, or a similar role
- Proven ability to independently manage office operations with full ownership and accountability
- Strong experience managing vendor relationships, contracts, negotiations, and performance
- Demonstrated ability to manage budgets, track expenses, and identify cost‑saving opportunities
- Excellent organizational, project management, and multitasking skills with high attention to detail
- Proactive, solutions‑oriented mindset with the ability to anticipate needs and resolve issues before they arise
- Strong interpersonal and communication skills with the ability to collaborate across all levels of the organization
- Experience planning events, employee engagement initiatives, and onboarding programs
- Familiarity with facilities management, space planning, and workplace strategy (including hybrid work environments)
- Ability to create, implement, and enforce policies, procedures, and best practices
- Comfortable working with office technology systems (e.g., ticketing systems, inventory tools, workplace apps, MS Office/Google Workspace)
- Ability to analyze trends, identify gaps, and implement long‑term operational improvements
- High level of professionalism, discretion, and customer‑service orientation
