Job Description

Administrative Assistant – at Eagle Bay Academy. The role ensures efficient operation of the school office, providing support to the Building Administrator, staff, students and community. It is a deadline‑driven, goal‑oriented position requiring diplomacy, tact, and professional conduct.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Support the Building Administrator in scheduling, communications, research, reports, paperwork, audit compliance, budget and project management.
  • Respond to internal and external inquiries, maintain confidentiality, and exercise judgment in prioritizing items.
  • Create and update procedures for administrative tasks.
  • Maintain manual and electronic document files in accordance with guidelines.
  • Perform routine office functions: typing, computer operation, filing, collating, producing materials, data entry, purchasing office supplies, greeting visitors, answering phones, scheduling appointments and meetings.
  • Prepare purchase orders, order supplies, maintain inventory and track travel reimbursements.
  • Track Petty Cash usage, replenish as needed, and report staff time off & coordinate substitutes.
  • Plan, organize and prioritize work schedules to promote efficient workflow.
  • Attend staff/faculty meetings and trainings as required.
  • Maintain attendance in accordance with established days/hours of work.
  • Perform other duties as assigned.
QUALIFICATIONS Education
  • Minimum required:
    High School Diploma or Equivalent
  • Preferred:
    Associate or Bachelor’s Degree
Experience
  • Minimum required: 2 years of increasingly responsible administrative support work
  • Preferred: 3–5 years office administrative experience
Attributes
  • High proficiency in technology: email, Microsoft Office, Google Workspace, cloud computing.
  • Experience operating office equipment: multi‑line phones, fax, copier/scanner, intercom, security systems.
  • Excellent verbal and written communication skills with strong grammar.
  • Ability to read and comprehend instructions and correspondence.
  • Ability to present information in one‑on‑one and group settings.
  • Quick assimilation of new information.
  • Sound judgment, discretion, and decorum in interactions.
  • Ability to work independently in a fast‑paced environment.
WORKING CONDITIONS

Physical and mental requirements typical of the position include face‑to‑face contact, variable noise levels, verbal contact, judgment/decision making, indoor air conditioning and heat. Additional details are available upon request from Human Resources.

EMPLOYMENT BENEFITS/TERMS
  • Payment Frequency: Bi‑Weekly
  • Calendar Year: 210 workdays (based on start date), 8 per day/40 per week
