- Provides day-to-day administrative support to the Chief Compliance Officer.
- Maintains compliance files, logs, calendars, records, and tracking systems.
- Maintains an organized and audit-ready compliance-documentation system.
- Tracks compliance projects, assignments, deadlines, and deliverables.
- Prepares routine correspondence, memoranda, reports, and presentation materials.
- Coordinates department meetings, appointments, and compliance activities.
- Assists with departmental purchasing, invoices, and administrative needs.
- Maintains the organization’s policy inventory and review schedule.
- Tracks policy ownership, review dates, approvals, revisions, implementation, and acknowledgements.
- Coordinates with department leaders regarding overdue policy reviews.
- Maintains version control and archives obsolete policies.
- Assists with formatting policies in the approved organizational template.
- Uploads approved policies to the designated policy-management system.
- Maintains evidence of policy communication, assignment, acknowledgement, and training.
- Prepares policy-status reports for the Chief Compliance Officer.
- Does not independently approve organizational policies.
- Coordinates compliance-training assignments through the organization’s learning-management system.
- Tracks completion of mandatory compliance education.
- Sends reminders regarding outstanding training.
- Prepares periodic training-completion reports.
- Maintains attendance records, acknowledgements, certificates, and training materials.
- Assists with scheduling live or virtual training sessions.
- Supports annual Standards of Conduct and compliance-program education.
- Escalates overdue training to the Chief Compliance Officer and responsible department leader.
- Assists in evaluating training effectiveness through surveys, quizzes, or completion data.
- Coordinates meetings for the Quality Improvement and Compliance Committee and other assigned committees.
- Prepares and distributes agendas and supporting materials.
- Tracks committee recommendations, action items, responsible parties, and completion dates.
- Collects departmental reports and performance data.
- Maintains committee records.
- Supports preparation of dashboards and quarterly reports.
- Follows up with departments regarding overdue committee assignments.
- Opens and maintains confidential investigation case files.
- Assigns or maintains case numbers in accordance with department procedures.
- Organizes evidence, interview notes, records, and supporting documentation.
- Assists with scheduling interviews and meetings.
- Maintains investigation and complaint logs.
- Tracks investigation status, due dates, findings, recommendations, and corrective actions.
- Assists with preparing investigation summaries at the direction of the Chief Compliance Officer.
