Position Summary
The Medical Office Assistant (MOA) provides essential administrative support to the clinic, ensuring a safe and welcoming environment for patients and staff. The MOA interacts directly with patients, manages clinic logistics, and collaborates with interdisciplinary team members to facilitate high‑quality, person‑centered care.
Key Duties and Responsibilities- Maintain and handle confidential information appropriately.
- Remain current with standards relevant to the program, project, or service.
- Uphold shared responsibility for reconciliation in Canada.
- Provide administrative and clerical assistance, including: coordinating communication, answering correspondence, maintaining bulletin boards, calendars, and staff schedules, distributing mail and electronic material, and managing paper and electronic files and databases.
- Provide MOA and reception services: operating a multi‑line switchboard, answering and directing calls, registering new patients, booking appointments, answering routine inquiries, receiving visitors, following up on physician/nurse practitioner orders, contacting other hospitals or organizations, autoclaving instruments, taking vitals, and managing room and office supplies.
- Provide facility support by maintaining a welcoming and inclusive environment for patients and staff.
- Clean and prepare exam rooms between patients and maintain the patient waiting area, clinic rooms, and equipment in accordance with established procedures.
- Liaise with healthcare and social service organizations and general practitioner offices to provide program‑related information.
- Secondary education and a Medical Office Assistant diploma, plus a minimum of 3 years of recent related office/clerical experience, or an equivalent combination of education, training, and experience.
- Experience working with people from diverse cultural and lifestyle backgrounds.
- Knowledge of office management principles, records retention policies, and procedures.
- Proficiency in MS Office, EMRs, Health Connect Registry, and billing and coding software.
- Knowledge of social, economic, political, and historical realities impacting Indigenous communities and familiarity with Indigenous Cultural Safety, cultural humility, and anti‑racism (preferred).
- Experience in primary care or community and/or specialist office settings that serve populations with multiple barriers to health equity.
- Strong written and oral English communication skills; other languages are an asset.
- Customer service orientation, cultural sensitivity, organizational skills, ability to set priorities and meet deadlines.
- Ability to thrive in a fast‑paced, high‑stress environment and handle multi‑tasking.
- Critical thinking, problem‑solving, attention to detail, and discretion with confidential information.
- Team‑player who can work independently and with interdisciplinary colleagues.
37.5 hours per week. Full‑time position covering maternity leave until August 31, 2027.
Typical schedule:
Monday – Friday, or Tuesday – Saturday with potential rotating Wednesday evenings (11 am–7 pm). Expected start date:
August 4, 2026.
$26.63 – $28.81 per hour.
