Position OverviewThis position is responsible for the administration of a variety of BCNU bursaries. Work performed is complex and requires systematic coordination and organization. The incumbent receives new assignments in the form of verbal, written, or email guidelines from a number of officers or other union staff, and is required to exercise initiative in the organization of their related duties. The role operates under general supervision and with a high degree of independence.
Key ResponsibilitiesAdministers various BCNU bursaries.
- First point of contact for the administration of various BCNU bursaries and as such, leads other administrative assistants in their duties regarding the approval of bursary applications.
- Monitors and organizes multiple bursary email inboxes.
- Responds to email and phone enquiries from members regarding bursary criteria, eligibility requirements, application follow‑ups, etc. in a timely manner.
- Reads completed bursary applications and reviews for eligibility to ensure that all required information is included. Follows up with members regarding incomplete applications or missing/insufficient information.
- Verifies documentation, membership status of applicants, and other eligibility criteria to ensure they are met by applicants.
- Processes bursary applications and maintains a systematic file process.
- Maintains and updates bursary files/spreadsheets on an ongoing basis, including file preparation for the Bursary Committee’s review and approval prior to funds being disbursed.
- Works with the Bursary Committee and attends committee meetings. Prepares meeting agendas, takes minutes, provides status updates on the different bursaries, and follows up on action items.
- Makes recommendations for process improvements.
- Stays up to date on knowledge of the regulations and procedures related to the different bursaries.
- Liaises and coordinates with different teams within the Professional Practice and Advocacy department as well as other departments at BCNU, such as Finance and Communications.
Performs other related duties as assigned.
QualificationsThe successful applicant must have:
- A diploma or certificate from an Administrative Assistant program or in Applied Business Technology and three years of experience in an office environment or an equivalent combination of education, training, and experience.
- Current knowledge of standard office methods and procedures.
- Strong technical skills, including demonstrated ability to effectively utilize MS Office and applicable databases such as Union Ware. Familiarity with Formstack would be an asset.
- Ability to communicate effectively both verbally and in writing.
- Ability to manage a high volume of correspondence and research information.
- Ability to create databases and online forms.
- Ability to create and document processes.
- Strong attention to detail and the ability to format, filter, and index information.
- Ability to work independently and deal with others effectively.
- Ability to organize work.
- Ability to problem solve.
- Ability to simultaneously listen and record minutes.
- Ability to type a minimum of 65 wpm.
