Position: Events Coordinator (Contract)
Engineers and Geoscientists British Columbia  is currently searching for an  Events Coordinator  to join our team in Burnaby on a contract until the end of June 2027.

The Events Coordinator is primarily responsible for supporting the planning and delivery of a diverse portfolio of events including the Annual Conference, EDI Events, Induction Ceremonies and other organization-sponsored events. This role will also support other departments in the organization with planning and executing events. The role coordinates subject matter experts, consultants, external vendors, registrants and volunteers to organize events and ensure a high-quality participant experience.

The Events Coordinator also provides customer support, event support and other administrative support as needed.

What You Will Be Doing

Coordinates and supports events such as networking events; training sessions for registrants, program participants, mentors, mentees, or volunteers; induction ceremonies; and additional event support as required (e.g. event management for other departments within the organization).

Provides primary support and coordination to the Annual Conference including implementing the key activities in the conference project plan. This includes coordinating staff and stakeholders, and supporting program areas such as continuing education, the tradeshow, sponsorship and exhibitor program, registration, as well as supporting pre‑event, onsite and post‑event logistics.

Assists the Programs Team with coordinating mentoring and student events e.g. Mentoring Mix and Mingle events, training sessions, and continuing education sessions.

Assists with the coordination of organization events and logistics including registration, room setup, AV and event materials. Supports the organizing team to ensure alignment, effective communication, and successful event execution.

Coordinates and supports Engineers and Geoscientists BC Induction ceremonies. Assists with event administration, including registration management, reporting, communications, and onsite event support.

Prepares quarterly and annual program status reports. Tracks event data and program metrics, contributing to quarterly reports and evaluations of event success. Assists with preparing and distributing materials that communicate outcomes, insights and recommendations. Manages shipments and orders supplies as needed.

Travel requirements include day trips within the Lower Mainland for various events throughout the year, as well as an overnight trip to assist with the Engineers and Geoscientists BC’s annual conference and AGM. Additionally, there may be occasions that necessitate overnight travel for events held outside the Lower Mainland.

Other duties as assigned by direct leader and, as appropriate, members of the departmental leadership team.

What You Bring To The Table

2‑5 years of relevant previous experience in event planning and program coordination preferably in a non‑profit, professional, or regulatory setting.

Bachelor's degree in Marketing, Communications, Business Administration, or a related field.

Education in event management is an asset.

2+ years of event planning experience for in‑person events with over 100‑200 attendees preferably in a nonprofit, professional, or regulatory setting.

Experience supporting volunteers, familiarity with the engineering or geoscience professions or regulatory environments, and experience planning ceremonies or formal recognition events is an asset.

Project management skills or experience working in teams to complete projects.

Exceptional customer service skills.

Strong writing and presentation skills.

Familiarity with metric development and reporting.

Ability to work independently and collaboratively.
