Administrative Assistant – LEAP Regular Full-Time (2 Positions)

Reporting to:  LEAP, Coordinator

Pay grade:  4 ($38.71 hourly/ $70,452.20 annually)

Starting:  June 2026

Posting Period:  June 2 to 8, 2026

Position Overview
This position is responsible for providing administrative support to the Licensing, Education, Advocacy Practice (LEAP) Program team. This position is under general supervision and operates with independence. The incumbent receives new assignments in the form of verbal, written or email guidelines from several officers or other union staff, and is required to exercise initiative in the organization of their related duties.

Key Responsibilities
Provides administrative support to the LEAP team.

Drafts and prepares letters, case documents/files and correspondence. This may be routine, specialized, or confidential in nature.

Assists with scheduling meetings and calls for Officers, making travel arrangements for members, and member expense form requests.

Handles incoming and outgoing mail items.

Enters updates in Union Ware, such as contact information changes, adding or removing participants from a case, etc.

Preparation of cases for Personal Information Protection Act (PIPA) requests.

Creates spreadsheets for data collection requests.

Makes and receives enquiries, takes and relays messages and information to a variety of contacts. Follow up as requested by LEAP Officers.

Works collaboratively with the LEAP Intake Assistant and deals with time sensitive issues effectively.

May liaise with different teams within the Occupational Health and Safety (OHS) department as well as other departments at BCNU.

May be required to perform duties of other administrative assistants in OHS.

Qualifications
Performs other related duties as assigned.

Successful Applicant Must Have

A diploma or certificate in Business Administration or Applied Business Technology and three years of experience in an office environment or an equivalent combination of education, training, and experience.

Current knowledge of standard office methods and procedures. Demonstrated ability to effectively utilize MS Office.

Knowledge and understanding of the Union Ware database structure and a variety of other software programs.

Ability to communicate effectively both verbally and in writing.

Strong organizational and time management skills. Ability to prioritize competing demands and work under pressure.

Ability to work independently and with others effectively.

Ability to manage correspondence and research information.

Ability to problem solve.

Ability to create and document processes.

Ability to format, filter, and index information.

Ability to simultaneously listen and record/transcribe minutes.

Ability to type a minimum of 65 words per minute.
