About the Role:The Executive Assistant provides high-level administrative and coordination support to Taiga’s executive leadership team. This role is focused on enabling executives to operate effectively by managing complex travel, expense reporting, meetings, and events, while acting as a trusted point of contact for directing requests across the organization. This position is best suited for a proactive, highly organized professional who thrives in a fast-paced environment, exercises sound judgment, and is comfortable interacting with senior leaders, employees, and external partners.

What You’ll Do Executive Travel & Expense Management- Coordinate complex domestic and international executive travel, including flights, accommodations, ground transportation, and itineraries
- Ensure all travel arrangements are accurately reflected in executive calendars
- Proactively anticipate and resolve travel-related issues
- Prepare, track, and submit executive expense reports with accuracy and timeliness
- Maintain organized expense documentation and liaise with Finance as needed.
- Coordinate executive and leadership meetings, including scheduling, agendas, and materials
- Attend designated meetings and prepare clear, concise meeting minutes
- Track and distribute action items and follow-ups
- Support preparation of executive presentations and briefing materials
- Handle sensitive information with professionalism and discretion
- Coordinate logistics for corporate events, executive meetings, management meetings, and industry conferences
- Manage event-related travel, venues, registrations, catering, and AV requirements
- Act as a central administrative contact for internal and external event stakeholders
- Ensure events are well-organized and professionally executed
- Act as a first point of contact for incoming requests from employees, vendors, and industry partners
- Assess, prioritize, and direct requests to the appropriate executive or department
- Support effective use of executive time through thoughtful triage and follow-up
- Assists with drafting, editing, and sharing tailored communications such as correspondence, presentations, and policies and procedures.
- Maintain and organize contracts and documentation related to Taiga’s buying groups
- Ensure appropriate filing, version control, and document accessibility
- Track key dates such as renewals and amendments and flag items requiring executive review
- This role does not include negotiation or management of national accounts
- 5+ years of experience as an Executive Assistant or senior administrative professional supporting executive leadership
- Proven experience managing executive travel and expense reporting
- Experience preparing meeting minutes and supporting senior-level meetings
- Strong organizational skills with exceptional attention to detail
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Excellent written and verbal communication skills
- High degree of professionalism, discretion, and judgment
- Annual Salary – $60,000 to $90,000
