Position: Accounts Payable/Administrative Assistant )

Primary Focus

The AP role is responsible for related to Accounts Payable to ensure the efficiency and productivity of the company.

Major Areas of Responsibility
  • Administrative Support
    • Handles correspondence, including responding to emails and sorting mail
    • Keeps well-organized files & records of business activities
    • Maintains office files related to company’s operations
    • Supports executives’ requests and administrative needs
    • Scan documents and files them in the appropriate locations
    • Assist Operations Team with time keeping and administrative duties
  • Bookkeeping
    • Responsible for Accounts Payable tracking/processing/reconciliation activities in Quick Books
    • Prepares and maintains accounting documents and records
    • Ensures utility bills are recorded and paid on time
    • Reconciles employee expenses and prepares employee expense report
    • Responsible for credit card report and credit card reconciliations
    • Prepares AP reports and processes AP runs
    • Reconciles vendor statements and completes monthly vendor statement list
    • Responsible for vendor credit applications
    • Works with vendors to resolve invoicing and payment queries
  • Filing Accounts Payable Documents
    • Responsible for filing Berto & related companies, Accounts Receivable & Accounts Payable documents
    • Packs & transfers historic files as needed
  • Performs other general office & administrative tasks outside what has been outlined in this job description
Required Knowledge, Skills, and Abilities
  • Strong organizational and time management skills
  • High school graduation and general courses or training in word processing, database, and spreadsheets.
  • Minimum of 1 year’s experience in bookkeeping and/or basic accounting role
  • Minimum of 1 year of experience with Quick Books
  • Self motivated
  • Strong team player
  • Strong attention to detail and positive analytical skills
  • Strong problem-solving skills
  • Excellent verbal and written communication skills
  • Ability to work independently with minimal supervision
  • Ability to handle confidential material with discretion
