Job Summary:
Reporting to the Buildings + Places (B+P) Marketing Team Lead, you will work in close collaboration with the B+P marketing team, as well as all other pursuit and marketing function teams across Canada.
This position is for a newly created position
Your primary responsibility is to lead and coordinate the production of proposals and marketing material in response to formal client requests for B+P Business Line proposals.
Responsibilities may include – but are not limited to – the following:
Major Responsibilities:
- Assists with large proposals and able to lead small to medium proposals (cross regions or business lines), and supports from capture through to interview stage, as required.
- Coordinates content and information for qualifications and proposals, including schedule, templates, compliance, content plan and production. Provides conceptual leadership for document design. May serve as lead writer/editor for resumes and past performance sections for proposals.
- May facilitate colour review (Pink and Red team) reviews and apply lessons learned to add value to proposals. Manages the implementation of proposal and presentation revisions based on direction from review teams.
- Participates in go/no-go and greenlight analyses in compliance with delegation of authority guidelines, capture planning and positioning activities as they pertain to preparation for the proposal.
- Conducts internal debriefs for the proposals they lead and reviews both debriefs and client feedback to demonstrate continuous improvement on proposals.
- Complete training on the bid searching process (including, but not limited to, learning bid search sites, distribution lists and tracking sheets) to act in a supporting role to the Canada West bid search person for vacation and/or sick time periods.
- Has solid working knowledge of company quality procedures and approval processes (legal, contracts, DOA, signatory).
- Liaises with appropriate/relevant business line team, operations, technical, and business development professionals to support or develop marketing information (including but not limited to case studies/project sheets and capabilities summaries).
- Provides guidance to entry-level proposal team members
- Performs a self-check of work prior to submitting to others for review/approval
Minimum Requirements:
- Bachelor’s degree in Marketing, Communications, Business, Engineering, or a related field.
- Minimum of 2 years of experience in proposal coordination, preparation, or related work in a professional services environment.
- Strong organizational skills, with the ability to manage multiple priorities and deadlines.
- Excellent writing, editing, and verbal communication skills in English (French is an asset).
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint); familiarity with Adobe Creative Suite (InDesign, Photoshop) considered an asset.
Preferred Requirements:
- 4+ years of experience in a proposal, marketing, or communications role within an engineering consulting, architecture, or construction firm.
- Demonstrated experience leading and coordinating small to medium-sized proposal efforts across multiple regions or business lines.
- Familiarity with standard proposal processes (e.g., Go/No-Go, Pink/Red/Gold reviews, compliance matrices).
- Knowledge of Canadian public and private sector procurement practices.
- Understanding of strategic capture planning, market research, and competitive intelligence.
- Ability to write and edit resumes, project descriptions, and proposal content with a focus on clarity and impact.
- Experience supporting proposal-related tools and platforms such as SharePoint, CRM systems, or online bid portals.
- Ability to work both independently and collaboratively with cross-functional teams, including technical and business development staff.
- Strong attention to detail and commitment to delivering high-quality, client-focused documents under tight deadlines
