Job Summary

The Event Manager is an event‑centric position that coordinates, communicates, and manages multiple tasks and events. The role supervises patron services and contracted services while maintaining high standards of customer service for all facility users. It requires variable work hours, including evenings, weekends and holidays, and may involve event presence and support depending on event requirements.

Essential Duties
  • Primary point of contact for clients from contract execution to event completion.
  • Provide event‑management leadership across all departments, maintaining strong organizational and communication systems.
  • Ensure event management systems are customer‑centric and executed efficiently with both clients and the internal team.
  • Create accurate event invoices and coordinate event information between the facility and the client.
  • Provide accurate post‑event information to aid event close‑out processes.
  • Review and implement policies and procedures for Event Services and recommend modifications to the Director of Sales and Events.
  • Serve as Manager on Duty for events, including nights, weekends, and holidays.
  • Directly manage front‑of‑house staff, including hiring, training, coaching, and scheduling.
  • Review and approve payroll for applicable staff before final submission at the end of each pay period.
  • Ensure all departments receive event information timely and that during events all departments and staff function as required for event success.
Other Responsibilities
  • Gather client information including event type, budget, space needs, equipment, technical requirements, timeline, insurance certificates, catering menus and staffing.
  • Ensure all event set‑ups comply with safety, fire and health code procedures.
  • Collaborate with the food and beverage department to coordinate food and beverage functions for client events.
  • Monitor event schedules and equipment inventory availability.
  • Compile post‑event information to share with staff and clients as warranted.
  • Coordinate use of contract security, sworn security and first‑aid services as needed.
  • Maintain high standards of communication with all team members.
  • Oversee facility compliance with ADA requirements and recommend accommodations.
  • Attend regularly scheduled hours, including nights and weekends.
  • Perform other assigned tasks as required.
Supervisory Responsibilities
  • Directly supervise event services staff and volunteers.
  • Carry out supervisory responsibilities in accordance with organizational policies and applicable laws.
  • Provide training, plan, assign and direct work, appraise performance, reward and discipline employees, and resolve complaints and problems.
Qualifications
  • Basic knowledge of business management practices.
  • Ability to compile and maintain records for payroll, personnel scheduling, and event scheduling.
  • Knowledge of entertainment‑business procedures to foster good relationships with promoters and performers.
  • Sound judgment and decision‑making for handling incident situations at events.
  • Clear oral and written communication skills.
  • Ability to train event employees in crowd and public handling.
  • Professional and cordial public‑facing demeanor.
  • Ability to plan, service and supervise a variety of events with support from staff.
  • Anticipate equipment and other needs for individual events.
Education and/or Experience
  • Four‑year degree in management, hospitality or business‑related field preferred.
  • Minimum of three (3) years’ experience in hospitality/event management or related field.
  • Alternative combinations of experience and education that meet these requirements are acceptable.
  • Knowledge of event production and operations, including coordination with promoters, pre‑event planning, facility organization and staffing.
  • Proficiency with Microsoft Office Suite and administrative/organizational systems.
Certificates, Licenses, Registrations
  • Current, valid driver’s license.
Language Skills
  • Ability to read and interpret safety rules, operating and maintenance instructions, and policies and procedures.
