Your role

As (Senior) Event & Education Project Manager, you will play a key role in the planning, execution, and delivery of scientific and educational events and programs for our association clients, mostly professional medical/healthcare membership organizations. You will manage complex projects from concept through completion, ensuring high-quality delivery, compliance with accreditation requirements, and outstanding experiences for attendees, faculty, sponsors, and partners.

You will work closely with Executive Directors, Association Managers, Scientific and Education Committees, faculty, vendors, and internal teams. This role combines strategic planning, operational execution, stakeholder management, and onsite leadership.

What you’ll do Project & Event Management
  • Develop and manage comprehensive project plans, timelines, and deliverables for scientific meetings and educational programs.
  • Lead internal kick-off meetings and coordinate follow-up actions across teams.
  • Oversee budgets, financial tracking, reconciliation, and reporting, ensuring financial objectives are met.
  • Conduct destination research and develop RFPs for venues, hotels, AV, and third-party suppliers.
  • Negotiate and contract venues, hotels, and service providers.
  • Manage all event logistics, including audiovisual, food & beverage, exhibits, transportation, social events, and onsite staffing.
Scientific & Educational Program Support
  • Serve as primary liaison to Scientific, Meeting, and Education Committees.
  • Support scientific program development, including faculty coordination, speaker logistics, and moderator communications.
  • Manage abstract and workshop processes, including call development, submission platforms, reporting, review coordination, and author communications.
  • Support CME/CEU accreditation processes, documentation, compliance, and post-event reporting.
Virtual & Hybrid Event Delivery
  • Coordinate virtual (webinar) and hybrid meeting components in collaboration with internal teams and platform vendors.
  • Support technical setup, rehearsals, live delivery, and troubleshooting for virtual and hybrid programs.
Communications & Documentation
  • Support development and execution of program-related communications in collaboration with marketing teams.
  • Prepare key program documents, including scripts, timelines, function sheets, faculty itineraries, welcome letters, and onsite materials.
Onsite & Post-Event Management
  • Lead onsite operations and program delivery, coordinating faculty, venues, vendors, and internal teams.
  • Supervise onsite staff, contractors, and project coordinators.
  • Manage post-event activities, including evaluations, faculty reimbursements, CME compliance, reporting, and follow-up communications.
  • Supervise and mentor project coordinators and assistants.
  • Share knowledge, best practices, and documentation internally.
  • Contribute to the development of templates, guidelines, and internal tools.
What you’ll bring
  • At least 3-5 years of experience in event or project management within scientific, medical, or healthcare education (CME preferred); 5+ years of experience for senior manager position.
