The Shop Equipment Assistant provides administrative and operational support directly within the maintenance shop office. This role ensures the fleet operations run smoothly by taking ownership of weekly shop payroll
, managing vendor accounts payable
, and accurately coding Comdata credit card transactions
. Additionally, this individual assists with asset management by keeping a meticulous, up-to-date shop inventory of parts, tools, and heavy equipment components.
- Track weekly payroll: Collect, verify, and input weekly hours and time sheets for shop mechanics, technicians, and drivers, ensuring accurate labor cost allocation to specific equipment or repair orders.
- Reconcile Comdata transactions: Monitor, code, and reconcile daily and weekly Comdata (credit card/fuel card) statements, verifying all receipts match card usage and assigning costs to the correct fleet vehicles or accounts.
- Process accounts payable: Review, verify, and code invoices for shop materials, specialized tools, third‑party repairs, and parts vendors, routing them promptly to corporate accounting.
- Manage shop inventory: Maintain accurate inventory logs of parts, fluids, and shop supplies. Assist with cycle counts, reorder stock when levels are low, and track parts assigned to specific work orders.
- Support asset management: Update equipment files, maintenance logs, and tracking databases to ensure all company assets are correctly documented from acquisition to disposal.
- High school diploma or equivalent required; vocational training or courses in business administration, accounting, or automotive/diesel shop management is a plus.
- 1–2 years of experience in a clerical or bookkeeping role, with direct experience working in an equipment shop, fleet dealership, or construction maintenance facility highly preferred.
- Must be at least 18 years of age.
- Must be able to complete a pre‑employment drug screen with a “Negative” result.
- Must be able to complete a post‑ offer physical with a “Capable” result
- Eligible to work in the United States
- Be willing to work outdoors in extreme temperatures, both hot and cold
- Experience preferred Work Environment:
This role operates in both office and active construction site environments. Candidate must be able to perform site walks, attend field meetings, and ensure on‑site safety and compliance.
