Who We're Looking For
We're looking for a highly organized, resourceful, and polished Executive Assistant who can confidently manage competing priorities while supporting our CEO in both strategic and day-to-day operations.
This role requires exceptional communication skills, sound judgment, discretion, and the ability to stay calm under pressure. If you're someone who enjoys solving problems, staying several steps ahead, and making executives more effective, we'd love to meet you.
Schedule- Full-Time
- Monday-Friday
- On-site in Calabasas, CA
- Occasional overtime as business needs require
As Executive Assistant to the CEO, you'll serve as the operational backbone of the executive office, ensuring the CEO's time is optimized and priorities stay on track.
Responsibilities- Manage and prioritize the CEO's complex calendar and daily schedule
- Draft, edit, and proofread executive correspondence, reports, and presentations
- Conduct research and prepare briefing materials for meetings and presentations
- Take detailed meeting notes and distribute professional meeting minutes
- Create presentations and business documents using Microsoft Office
- Coordinate domestic and international travel arrangements
- Organize meetings, lunches, and executive events
- Handle confidential information with the highest level of professionalism and discretion
- Assist with special projects, administrative support, and occasional personal errands as needed
- 3+ years of Executive Assistant experience supporting senior leadership
- Exceptional written and verbal communication skills
- Strong business writing and editing abilities
- Advanced proficiency with Microsoft Outlook, Excel, Word, and Power Point
- Experience using Adobe Acrobat, iCloud, and modern productivity software
- Outstanding organizational skills with exceptional attention to detail
- Ability to manage multiple priorities in a fast-paced environment
- Excellent time management and follow-through
- Professional demeanor with a high level of discretion and confidentiality
- Reliable transportation
- Willingness to work occasional overtime
- Experience supporting executives in security, military, law enforcement, or related industries is a plus
