Aboutthe Position
Reporting to the VP, Human Resources, the Office Assistant is responsible for supporting the smooth operation of the office and assisting with day-to-day administrative functions. This position provides front office support, assists employees and visitors, manages office supply needs, and performs a variety of clerical and administrative duties to help maintain an organized and efficient work environment.
- Supports front desk and lobby operations of the Maverick office and serves as a professional point of contact for incoming visitors and guests.
- Greets visitors, checks them in, and notifies personnel of their arrival.
- Provides general support to visitors, ensuring they are comfortable and connected with the appropriate office personnel.
- Assists with organizing office operations and administrative procedures.
- Helps maintain conference rooms in a clean and orderly condition and assists with room setup for visitors, training sessions, and new hire orientations.
- Assists with incoming and outgoing correspondence, including emails, mail, packages, and deliveries.
- Monitors office, kitchen, and break room supplies and assists with inventory management and ordering.
- Supports coordination of weekly, monthly, and special lunch orders as needed.
- Assists in maintaining office equipment and general office organization.
- Coordinates with building management, vendors, cleaning services, catering, and security personnel as directed.
- Assists with submitting invoices and documentation to accounting for reconciliation.
- Helps submit work orders and schedule repairs for office space and equipment.
- Assists with planning and coordinating office events, celebrations, meetings, and conferences.
- Supports Spirit Squad activities, including meeting coordination, documentation, and event preparation.
- Assists with new hire onboarding activities, including preparing orientation materials, reserving meeting rooms, assembling packets, and coordinating meals as directed.
- Coordinates employee travel arrangements and accommodations as assigned.
- Assists with company communications, calendars, announcements, and other employee engagement activities.
- Supports the Employee of the Month survey process and assists with communications regarding employee recognition programs.
- Assists employees with temporary badge issuance and related documentation as needed.
- Performs general administrative support duties, including filing, data entry, document preparation, scanning, copying, and correspondence.
- Supports specialized projects on an as-needed basis as directed by Department or Company leadership.
- Other duties as assigned.
- High School Diploma or equivalent.
- 1-3 years of administrative, clerical, receptionist, or office support experience.
- CA Driver's License and registration.
- Experience working in a fast-paced office environment.
- Experience coordinating meetings, travel arrangements, or office events.
