The Senior Payroll Specialist will ensure accurate and timely processing of multi‑state payroll for the organization, maintain compliance with federal, state, and local regulations, and serve as the subject‑matter expert on payroll operations. The position requires strong technical proficiency, meticulous attention to detail, and the ability to handle confidential information with discretion.
Responsibilities- Process accurate and timely multi‑state payroll for all employees, including hourly, salaried, and commissioned staff.
- Review and validate time‑keeping data, resolving discrepancies in hours, leave, and attendance with managers and HR.
- Maintain compliance with all payroll regulations, including wage and hour laws, tax withholding, garnishments, and year‑end reporting (W‑2, 941, and related filings).
- Administer payroll‑related deductions and contributions for benefits, retirement plans, and tax levies, ensuring proper setup and reconciliation each cycle.
- Reconcile payroll accounts and provide reports for Finance and Accounting, supporting month‑end and year‑end close as well as internal and external audits.
- Serve as the primary point of contact for employee payroll inquiries, researching and resolving complex pay issues with professionalism and discretion.
Minimum Qualifications
- High school diploma or equivalent required; associate’s or bachelor’s degree in Accounting, Business Administration, Human Resources, or a related field preferred.
- Minimum of five (5) years of progressive payroll processing experience, including multi‑state payroll; experience with union payroll preferred.
- Working knowledge of payroll and time‑keeping systems such as ADP, Workday, UKG, or comparable platforms and proficiency with Microsoft Excel.
- Demonstrated knowledge of federal, state, and local wage and hour laws, payroll tax requirements, and garnishment processing.
- Strong attention to detail, organizational skills, and a high degree of discretion when handling confidential information.
- Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) through the American Payroll Association.
- Experience in a high‑volume, multi‑entity, or unionized payroll environment.
- Experience supporting payroll system implementations, upgrades, or process‑improvement initiatives.
- Familiarity with general ledger reconciliation and integration between payroll and accounting/ERP systems.
