Customer Service Specialist - Motor Vehicle Department Job Description

Compensation: $18.00 - $21.73 hourly DOE

Job Summary The Customer Service Specialist – Motor Vehicle is the first point of contact for the public, processing vehicle registrations, titles, and related transactions. This role handles records, assists with applications, answers questions, and helps resolve customer issues. Strong customer service and clerical skills are essential, with on-the-job training provided to develop department knowledge. Duties include both office work and occasional outdoor VIN inspections.

The position works under the guidance of the Motor Vehicle Supervisor and senior staff for complex situations.

Key Responsibilities

  • Customer Service:
    • Answers incoming phone calls and greets walk-in customers, processes new and renewal motor vehicle registrations and title transfers, provides general information to the public, provides specific information about motor vehicle registration, titles, taxes and assessments
    • Performs Vehicle Identification Number (VIN) inspection and verification
    • Collects and records motor vehicle registration, state sales tax, and recreational vehicle registration payments
    • Receives, records, copies, verifies, proofs, and maintains a variety of documents
  • Clerical:
    • Processes mail
    • Balances funds received daily
    • Updates, verifies, and maintains address, registration, title, valuation, ownership, transfer, and related computer files
    • Conducts research of documents for customers, including dealerships and financial institutions
  • Other Duties:
    • Performs all work duties and activities in accordance with county policies, procedures and safety practices
    • Other duties as assigned

Qualifications

Skills and Abilities:

  • Current state codes and county ordinances governing motor vehicle, recreational vehicle, and trailer title, valuation, ownership, registration, and exemptions
  • Learn department functions thoroughly to provide general information and explain detailed department processes and procedures
  • Operation of standard office equipment
  • English grammar and punctuation; communicate effectively both orally and in writing
  • Bookkeeping, filing, and record keeping practices and procedures
  • Work cooperatively and constructively with fellow workers and members of the public to provide public service of the highest quality
  • Follow written and oral instructions
  • Maintain records efficiently and accurately
  • Perform multiple tasks simultaneously, including handling interruptions, and return to and complete tasks in a timely manner

Special Qualifications

  • Must have a valid Idaho driver’s license
  • Successfully complete a background investigation

Education and Experience

  • High school diploma or GED equivalency; preferably supplemented with course work in clerical, secretarial, or other business applications
  • Seven (7) months to one (1) year cashiering, general office or customer service experience required, two (2) years DMV experience preferred
  • Equivalent combination of experience and training may be considered

  • Clear speech with or without an accommodation, to effectively convey detailed or important instructions or ideas accurately, loudly and/or quickly
  • Sufficient clarity of hearing with or without reasonable accommodation to enable the employee to hear average or normal conversations and receive ordinary information
  • Visual acuity, with or without an accommodation, to read instructions, review and organize documents
  • Sufficient personal mobility, flexibility, agility, and balance, ability to lift 25 pounds occasionally, with or without reasonable accommodation, which permits the employee to work in an office environment and perform VIN inspections
