SUMMARY

The Office Manager is an experienced, highly organized individual whom will oversee day‑to‑day administrative and financial operations. This role will provide leadership and coordination across Finance, Accounts Receivable, Accounts Payable, Payroll, and Customer Service. The ideal candidate is detail-oriented, process-driven, and comfortable managing both people and systems in a fast-paced manufacturing environment.

KEY RESPONSIBILITIES General Office Management
  • Oversee daily office operations ensuring efficient workflow across all departments.
  • Maintain office policies, procedures, and operational standards.
  • Partner with leadership to support company-wide initiatives and process improvements.
Finance & Accounting Support
  • Assist with general financial oversight in coordination with the CFO.
  • Support budgeting, reporting, and month-end processes.
  • Ensure compliance with internal controls and company financial policies.
Accounts Receivable (AR)
  • Oversee customer billing and invoicing accuracy.
  • Monitor outstanding receivables and ensure timely collections.
  • Resolve customer billing inquiries and elevate issues as needed.
Accounts Payable (AP)
  • Oversee vendor invoice processing, expense tracking, and payment scheduling.
  • Maintain vendor files and manage vendor communication.
  • Ensure all payables follow proper approval workflows and are processed on time.
Payroll Administration
  • Manage payroll processing in coordination with HR and Finance.
  • Maintain employee records, payroll records, timekeeping accuracy, and compliance with wage regulations.
  • Address payroll-related questions and assist with audits as necessary.
Customer Service Oversight
  • Assist the Customer Service team ensuring timely, accurate responses to customer inquiries.
  • Monitor order processing, customer accounts, and service level performance.
  • Handle escalated customer issues and collaborate with operations to resolve concerns.
People Leadership
  • Provide leadership, scheduling, training, and performance coaching to administrative and customer service staff.
  • Foster a positive and productive team environment.
  • Assist with onboarding of new production, administrative and customer service employees.

All other duties as assigned and subject to change.

QUALIFICATIONS
  • 5+ years of experience in office management, administration, or finance-related roles (manufacturing experience preferred).
  • Strong understanding of AR, AP, and payroll processes.
  • Experience supervising administrative or customer service personnel.
  • Proficiency with accounting systems (e.g., Quick Books, ERP systems) and MS Office Suite.
  • Excellent communication, organization, and problem-solving skills.
  • Ability to manage multiple priorities and deadlines in a dynamic environment.
PHYSICAL REQUIREMENTS
  • Ability to work in an office and manufacturing environment, which may include exposure to noise, dust, and varying temperatures.
  • Ability to Sit, stand and walk for long periods.
