The Programming Administrative Assistant position supports the activities of the Stampede Programming Team during the lead up, execution, and reconciliation of the annual Calgary Stampede. This role works collaboratively with a variety of internal and external stakeholders, including employees, contractors, stage talent, producers, and volunteers to operationalize the annual Calgary Stampede festival.

This is a Seasonal Position starting in February until end of July 2026.

Responsibilities

Reporting to the Programming Administrative Lead, the Programming Administrative Assistant will provide assistance to the Stampede Programming team as follows:

  • Coordinate and manage the accreditation process for the Programming team;
  • Support with parking, accommodation and travel requirements;
  • Provide logistical and operational support;
  • Build and distribute information packages;
  • Liaise with volunteers and various internal and external stakeholders to ensure program needs are being met;
  • Reconcile statements, invoices and track team expenses;
  • Oversee internal orders and distribution;
  • Input service orders;
  • Assist with execution of internal and promotional events;
  • Deliver high standards of customer service to all staff and guests;
  • General office management, including supply orders, stocking, and cleaning as required;
  • Create agendas and track minutes for organization meetings;
  • Assist Programming Administrative Lead with information gathering, communications, and additional special projects as required;
  • Administrative and operational tasks as needed.
Qualifications

The ideal candidate will be proactive, optimistic and have worked in a dynamic environment where they have experience delivering on multiple priorities and will hold the following qualifications:

  • A self-motivated individual who works effectively with a team
  • Highly proficient in Microsoft Office (Word, Outlook, Teams, Excel, PowerPoint)
  • Familiar with Adobe Acrobat and PDF editing
  • Strong interpersonal, administrative and organizational skills
  • Must have excellent written and oral communications skills
  • Ability to determine priorities and recognize importance of deadlines
  • Highly organized, detail-oriented and able to multi-task
  • Basic accounting skills and experience with expense reconciliation. Familiarity with SAP Concur is an asset
  • Experience with SharePoint and/or Ungerboeck considered an asset
  • Ability to work a flexible schedule, leading up to and during the Calgary Stampede 10-day event
  • Experience in managing, executing or producing arts, cultural and/or live events considered an asset

This role may be eligible for co‑op student programs, but it is not a mandatory qualification to apply.
