The Programming Administrative Assistant position supports the activities of the Stampede Programming Team during the lead up, execution, and reconciliation of the annual Calgary Stampede. This role works collaboratively with a variety of internal and external stakeholders, including employees, contractors, stage talent, producers, and volunteers to operationalize the annual Calgary Stampede festival.
This is a Seasonal Position starting in February until end of July 2026.

ResponsibilitiesReporting to the Programming Administrative Lead, the Programming Administrative Assistant will provide assistance to the Stampede Programming team as follows:
- Coordinate and manage the accreditation process for the Programming team;
- Support with parking, accommodation and travel requirements;
- Provide logistical and operational support;
- Build and distribute information packages;
- Liaise with volunteers and various internal and external stakeholders to ensure program needs are being met;
- Reconcile statements, invoices and track team expenses;
- Oversee internal orders and distribution;
- Input service orders;
- Assist with execution of internal and promotional events;
- Deliver high standards of customer service to all staff and guests;
- General office management, including supply orders, stocking, and cleaning as required;
- Create agendas and track minutes for organization meetings;
- Assist Programming Administrative Lead with information gathering, communications, and additional special projects as required;
- Administrative and operational tasks as needed.
The ideal candidate will be proactive, optimistic and have worked in a dynamic environment where they have experience delivering on multiple priorities and will hold the following qualifications:
- A self-motivated individual who works effectively with a team
- Highly proficient in Microsoft Office (Word, Outlook, Teams, Excel, PowerPoint)
- Familiar with Adobe Acrobat and PDF editing
- Strong interpersonal, administrative and organizational skills
- Must have excellent written and oral communications skills
- Ability to determine priorities and recognize importance of deadlines
- Highly organized, detail-oriented and able to multi-task
- Basic accounting skills and experience with expense reconciliation. Familiarity with SAP Concur is an asset
- Experience with SharePoint and/or Ungerboeck considered an asset
- Ability to work a flexible schedule, leading up to and during the Calgary Stampede 10-day event
- Experience in managing, executing or producing arts, cultural and/or live events considered an asset
