Job Overview
The Fur‑low and Foster Administrative Coordinator is a full‑time position (Sunday to Thursday, 37.5 hours/week) reporting to the Manager of Admissions and Foster at the Calgary Humane Society. This compassionate and highly organized individual will oversee the Fur‑low program—an innovative initiative that allows volunteers to take shelter dogs on enriching day trips—while also supporting the established Foster Program and providing administrative assistance within the Admissions Department.
Acting as a key liaison between staff, volunteers, and the public, the coordinator ensures smooth program operations and helps enhance the efficiency and impact of multiple departments. The ideal candidate is a strong communicator who thrives in a fast‑paced, mission‑driven environment and is committed to the humane care of animals.
- Manage the daily operations of the Fur‑low program.
- Oversee the existing volunteer pool and assist with onboarding new Fur‑low volunteers.
- Maintain volunteer schedules to ensure consistent and enriching dog outings.
- Collaborate with internal teams to select suitable dogs for day trips.
- Ensure accurate tracking of volunteer onboarding, compliance, and engagement through Volgistics.
- Provide supervision, training, and ongoing support to Fur‑low volunteers.
- Support the promotion and storytelling of the Fur‑low program in collaboration with the Communications team.
- Other duties as assigned by the Manager, Admission and Foster.
- Assist in screening, onboarding, and training new foster parents.
- Maintain up‑to‑date foster parent records in PetPoint and other databases.
- Communicate with foster caregivers to provide information, guidance, and resources.
- Work with volunteers to support the foster program, including training and task delegation.
- Review and verify foster parent applications to ensure completeness and accuracy.
- Other duties as assigned by the Manager, Admission and Foster and/or Foster Supervisor.
- Review and verify animal intake records, ensuring documentation accuracy and completeness.
- Confirm upcoming admission appointments and gather required information (e.g., veterinary records).
- Coordinate transportation of stray animals from partner clinics using volunteer drivers.
- Maintain organized records through data entry, filing, and digital documentation.
- Replenish supplies (e.g., towels, pet carriers) to support daily operations of the Admissions team.
- Assist with general administrative and coordination tasks across Admissions and Foster departments.
- Train and support volunteers assisting with admissions tasks as needed.
- Other duties as assigned by the Manager, Admission and Foster and/or the Admissions Supervisor.
- Communicate clearly and professionally with volunteers, foster families, and internal teams.
- Participate in interdepartmental meetings and projects to support CHS’s organizational goals.
- Assist in planning and executing program‑related events and initiatives.
- Strong attention to detail and ability to maintain accurate records and documentation.
- Excellent communication and interpersonal skills.
- Demonstrated ability to manage multiple priorities in a fast‑paced environment.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and comfort with databases.
- Ability to work independently and collaboratively across multiple departments.
- Professional verbal and written communication skills.
- Strong organizational and time‑management skills.
- Valid Class 5 Drivers License and clear driver’s abstract.
- Respect for animals and alignment with CHS’s mission and values.
- Previous experience in an administrative or clerical role.
- Experience in an animal shelter, veterinary clinic, or similar environment.
- Familiarity with Volgistics and PetPoint software or similar systems.
- Experience coordinating or supporting volunteers.
- Comfort and experience handling animals, especially dogs.
- Professional experience handling dogs, including knowledge of basic behavior, handling techniques, and enrichment activities.
