Our reputable and well-established client in the aviation industry is seeking a highly organized and proactive Office Administrator to support the day-to-day operations of their busy office. This is an excellent opportunity for someone who enjoys variety in their work, takes pride in staying organized, and thrives in a collaborative environment.

This role plays a key part in keeping operations running smoothly – supporting the office, managing communications, coordinating invoicing, and serving as a reliable point of contact for pilots and vendors. The ideal candidate is dependable, detail-oriented, and comfortable taking initiative wherever support is needed.

Duties and Responsibilities:

The key job functions are:

  • Provide comprehensive administrative support to the office
  • Manage incoming and outgoing communications
  • Coordinate incoming and outgoing mail, including courier and Fed Ex shipments
  • Perform data entry related to invoicing and financial documentation
  • Upload invoices to various client portals and ensure accurate record-keeping
  • Communicate with pilots and vendors to obtain invoices and verify accuracy
  • Enter and maintain financial data within Quick Books Online
  • Create, update, and maintain spreadsheets using MS Excel
  • Maintain organized process documentation and office systems
  • Experience:

  • Minimum year of experience in an administrative role is required
  • Experience with in the aviation industry is considered an asset, but not required
  • Experience with invoicing, bookkeeping support, or Quick Books Online is preferred
  • Skills:

  • Strong written and verbal communication skills
  • Exceptional attention to detail and accuracy
  • Ability to manage multiple priorities and meet deadlines
  • Proactive, self-motivated, and solutions-oriented
  • Reliable team player with a “no task too small” mindset
  • Comfortable following up with clients, vendors, and internal stakeholders
