What is the opportunity:

The Administrator provides efficient, proactive and professional administrative support to the Business Improvement team. This role requires strong communication skills, the ability to work with diverse audiences, from technical staff to senior leaders, and the capability to manage and enhance digital collaboration tools (e.g., SharePoint, Power BI, Power Automate, Planner and To-do).

What will you do:

  • Deliver timely administrative support to the Business Improvement team, ensuring smooth day to day operations. Coordinate meetings, workshops, and communications as required.
  • Prepare, format, and maintain high-quality business documents, including policies, procedures, guidelines, and operational materials. Review business documents for clarity, consistency, and alignment with organizational standards; provide constructive feedback and revision recommendations. Support lifecycle management of documentation in SharePoint, ensuring accuracy, version control, and a user-friendly structure. 
  • Manage and enhance collaboration spaces using SharePoint and Microsoft Teams (including Teams Premium features such as meeting templates, AI notes, and advanced collaboration capabilities). Maintain team channels, permissions, site content, and workflows to support efficient digital operations. 
  • Contribute to the development, testing, and improvement of Power BI interactive dashboards by gathering requirements, validating data, and supporting report documentation. Assist with building and maintaining Power Automate workflows that streamline business processes, improve efficiency, and reduce manual effort. 
  • Provide administrative and coordination support for project-based initiatives aligned with ESC’s Operational Plan. Track tasks, prepare progress documentation and meeting minutes, and help ensure deadlines and deliverables are met.
  • Other duties as required. 
  • What you need to succeed:

  • Executive Administrator Certificate is an asset. 
  • Certificate or diploma in Business Administration, Office Administration or related education is an asset. 
  • 5-10 years of progressively responsible administrative experience, including working with senior leaders. 
  • Proven track record in document control, policy/procedure editing, or business writing. 
  • Demonstrated experience managing SharePoint sites, Teams channels, or similar collaboration platforms. 
  • Hands-on experience supporting or building Power BI reports, Power Automate workflows, or other process-automation tools. 
  • Strong communicator able to tailor messaging for technical staff, business users, and executive leadership. 
  • Demonstrated experience with Microsoft 365 tools, including SharePoint, Teams (preferably Teams Premium), Power BI, and Power Automate, as well as Microsoft Planner and Microsoft To Do. 
  • Exceptional attention to detail and strong writing/editing skills for business documentation. 
  • Ability to work independently, manage priorities, and adapt in a fast paced environment. 
  • Technically curious and comfortable learning new digital tools and platforms. 
  • Excellent time management and organizational skills.
  • Detail orientated and committed to a high degree of accuracy.
  • Strong interpersonal skills – ability to liaise and interact with stakeholders at all levels.
  • Self-motivated and enjoys the challenge of working in a deadline-driven environment.
