In this essential role, you will serve as the central point of contact and the welcoming face of our client’s office. Aligned with the O-NET classification for Secretaries and Administrative Assistants, you will deliver high-level business administration support, ensure office efficiency, and coordinate essential staff activities. - Answer, screen, and forward phone calls, take messages, and ensure professional communication.
- Handle mail and delivery logistics by receiving, sorting, and distributing packages, as well as tracking outgoing courier shipments.
- Monitor, order, and distribute office supplies and manage relationships with equipment vendors.
- Support the President directly by assisting with copying, formatting, and creating sensitive documents.
- Collaborate with the engineering team to prepare, duplicate, and organize technical documentation.
- Maintain the cleanliness and organization of the office kitchen to ensure a welcoming environment for staff and guests.
- Perform light physical tasks as needed for office supply management, including lifting items up to the weight of a flat of pop.
- Implement and maintain physical and digital filing systems in compliance with record retention policies.
- Schedule meetings, appointments, and project-related travel, including arranging lunches and vendor lunch‑and‑learns.
- Optimize daily productivity by implementing and maintaining efficient office systems and workflows.
- 2+ years of experience in a receptionist, office administrator, or administrative support role (minimum 1 year of dedicated receptionist experience and 2 years of administrative experience required).
- Secondary School diploma is required; a certificate or diploma in Business Administration or equivalent is highly preferred.
