Convergint is seeking a part‑time, team‑oriented, and results‑driven Business Services Coordinator to join our dynamic culture at our Calgary location. In this role, you will provide skilled administrative support and contribute to the overall success of our Calgary office and broader Canadian team by managing action items and executing assigned tasks efficiently.
As the first point of contact, you will greet and assist visitors, customers, and colleagues in person and over the phone, always ensuring a professional and exceptional customer experience.

- Monday to Friday, 7:00 am to 12:30 pm

What You’ll Do- Act as the first point of contact in answering incoming calls, screening calls where necessary and routing to appropriate colleagues; relay all messages promptly and professionally.
- Greet all visitors to Convergint in a professional and courteous manner, ensuring positive customer experiences on Convergint’s premises.
- Provide administrative support as required (scanning documents, photocopying, filing, typing assignments, entering purchase orders).
- Coordinate multiple calendars and work with colleagues in other time zones across Canada.
- Coordinate Convergint Canadian travel, including flights, accommodations and vehicles, in accordance with Corporate Travel Policy.
- Set up laptops and cell phones for new colleagues and return used laptops and phones to inventory when required.
- Distribute all incoming mail and faxes in a timely fashion.
- Scan and retain documents as required in accordance with Convergint’s records retention policy.
- Order and stock office supplies, maintaining minimum/maximum requirements.
- Order business cards for colleagues in Canada.
- Keep the front office area and any public areas neat and orderly.
- Act as Convergint Technologies’ customer’s best service provider at all times, ensuring we remain the customer’s first choice for service.
- Excellent customer service skills and telephone mannerisms.
- Excellent time management skills.
- Excellent organizational skills with a high regard for attention to detail.
- Strong computer skills including Word, Excel, PowerPoint and Outlook and internet research skills.
- Strong IT skills, able to set up and decommission laptops (Windows and Microsoft) and cell phones (iPhones and Androides).
- Strong ability to adapt to new technologies, including both standard tools and proprietary systems.
- Strong keyboarding skills with high accuracy.
- Strong oral and written communication skills.
- Ability to adapt to changes related to work processes, department structure, environment and technology.
- Ability to demonstrate independence, resourcefulness and tenacity.
- Ability to handle difficult and sensitive information in a confidential manner.
- Strong ability to multi‑task and make decisions using priority management, interpersonal and organizational skills.
- Ability to train others in system usage is preferred.
- Completion of or working toward a diploma in office administration or business management is an asset.
- Minimum of 2 years in an administrative role.
- Experience in the service or construction industries is an asset.
- Experience in an IT background is an asset.
