Position OverviewWe are seeking a highly organized and customer‑focused Work Order Coordinator to join our Operations team. Reporting to the Senior Director, Operations, this role is responsible for overseeing the intake, coordination, and execution of maintenance and service requests across our residential and commercial property portfolio. The Work Order Coordinator plays a critical role in ensuring a consistent, high‑quality service experience for residents, tenants, and internal stakeholders while supporting operational efficiency and accountability across Building Operations.
As the central point of coordination between tenants, Property Management, vendors, and Building Operations teams, you will manage work order workflows, support maintenance planning activities, coordinate service providers, and contribute to capital and operational improvement initiatives. The ideal candidate is highly organized, solutions‑oriented, and thrives in a fast‑paced environment where delivering timely and effective service is a top priority.
Key ResponsibilitiesWork Order Administration & Coordination
- Support the administration and tracking of work orders across the portfolio
- Ensure work orders are accurately entered, categorized, updated, and closed within established standards
- Monitor work order statuses and follow up with operational teams on outstanding items
- Support adherence to response and completion timelines
- Assist with maintaining consistency in work order documentation and communication practices
Scheduling & Operational Support
- Coordinate scheduling for maintenance activities, inspections, vendors, and operational meetings
- Support Building Operations teams with administrative preparation and follow‑up
- Assist with organizing preventative maintenance schedules and tracking completion
- Coordinate access arrangements and communication related to maintenance activities
- Maintain organized operational calendars, records, and tracking tools
