Restore Child and Youth Care Inc. is seeking a highly organized, proactive, and detail-oriented Administrative Assistant to support the daily operations of our organization. This role is critical to ensuring our team, programs, and residential homes operate efficiently while maintaining compliance, communication, and administrative excellence.
Supporting a team of approximately 13 staff members across multiple homes, you will be a trusted partner to leadership and play an essential role in keeping our operations running smoothly.
Please note: This position requires regular travel between locations. A valid driver's license and access to a reliable vehicle are required.
What You'll Do Administration & Office Coordination- Provide administrative support to the Director, Coordinators, and leadership team.
- Maintain organized records, files, and documentation.
- Prepare, draft, and distribute memos, announcements, and internal communications.
- Serve as the primary point of contact for general administrative inquiries.
- Collect and review employee timesheets for accuracy.
- Assist with payroll processing and payroll-related administration.
- Coordinate scheduling requirements and staffing coverage with leadership.
- Distribute payroll documentation and communications to staff.
- Process expense reports and reimbursement requests.
- Maintain expense tracking spreadsheets and supporting documentation.
- Prepare monthly summaries and administrative reports.
- Support the onboarding process for new employees.
- Set up employee access to organizational platforms and systems.
- Coordinate training schedules and onboarding documentation.
- Work closely with HR to ensure a positive employee experience.
- Assist with home inspections and compliance-related activities.
- Maintain administrative records required for regulatory and organizational standards.
- Support supply purchasing and inventory management.
- Set up laptops and organize digital files and folders.
- Manage electronic documentation and filing systems.
- Follow up on outstanding documents and maintain accurate records.
- Run occasional business-related errands.
- Visit organizational locations as required to support operations.
- Ensure supplies and resources are available across homes and offices.
Required Qualifications
- Minimum 2 years of administrative experience in a fast-paced environment.
- Exceptional organizational and time-management skills.
- Strong attention to detail and ability to manage multiple priorities.
- Proficiency with Microsoft Office (Outlook, Word, Excel, Teams).
- Excellent written and verbal communication skills.
- Ability to maintain confidentiality and professionalism.
- Valid Ontario driver's license and access to a reliable vehicle.
- Experience supporting HR, payroll, scheduling, or onboarding activities.
- Experience working within social services, healthcare, non-profit, or community-based organizations.
- Familiarity with compliance documentation and reporting.
