Production Administrative Coordinator
This is a term position from September – November 2026, part-time in September and full-time in October and November.

The Opportunity
The Banff Centre Mountain Film and Book Festival is one of Banff Centre’s flagship programs. It is a nine‑day event that explores and celebrates mountain culture through film screenings, readings, guest‑speaker presentations, competitions, workshops, and a mountain marketplace.

We are looking for a Production Administrative Coordinator to provide administrative support for all aspects of the technical planning and delivery of the Festival and its related programming events.

Roles and Responsibilities
Program Support

Communicate regularly with BMF management to execute detailed technical planning.

Coordinate with presenters and faculty to determine technical specifications, equipment, space, and facility needs.

Assist directors with the technical delivery of programs, including orientation sessions, site inspections, and liaison with BMF and Program Operations staff.

Recruit and schedule technical staff, acting as primary contact during contracted periods.

Manage sourcing, acquisition, and return of technical equipment and sponsor ships.

Oversee and update the centralized Master List film spreadsheet, authoring and duplicating all program content.

Maintain the centralized database and projectionist notes related to event production.

Support logistics for emergency equipment acquisition and repair.

Provide technical program support at seminars and special events as required.

General Administrative Responsibilities

Work on a variety of projects within BMF, including administrative or systems work on special projects.

Serve as secondary front‑line contact for technical issues when the Producer is unavailable.

Attend BMF weekly meetings and programming events as time permits.

Undertake additional related duties and responsibilities as required.

Qualifications and Educational Requirements

University degree in a related discipline with a minimum of 5 years’ experience.

Substantial experience in program delivery and project management.

Strong computer skills (Word, Outlook, Excel, database).

Well‑developed communication and interpersonal skills.

Strong organizational and time‑management skills.

Flexibility and adaptability.

Commitment to customer‑service excellence.

Ability to work effectively under pressure and with shifting priorities.

Ability to manage multiple projects with high attention to detail.

Ability to work within an approved budget.

Willingness to work flexible, irregular hours including weekends and holidays.

Problem‑solving, decision‑making, and negotiation skills.

High reliability and motivation.

Experience or knowledge of electronic multimedia presentation technology is an asset.

Special Requirements

Availability for a flexible, irregular schedule including weekends.

Employment Terms and Benefits

Unionized hourly support staff position under CUPE 4318 with a 500‑hour probationary period.

$27.11 to $28.46 per hour, up to 40 hours per week on a rotating schedule.
