The Community Engagement Administrator reports to the Manager, Product and provides administrative and operational support for the SAIT Cybersecurity Learning Collective, powered by Mastercard. The position supports the day-to-day activities of the Collective by coordinating participant communications, administering community platforms, maintaining records, supporting events and webinars, responding to inquiries and assisting with reporting activities.
The role serves as a primary point of contact for participants and supports the delivery of positive and organized learner experience by ensuring communications, scheduling, records and program activities are coordinated effectively.
Participant and community communication- Respond to participant emails and messages in a timely manner.
- Share program updates, announcements, and reminders
- Draft and distribute newsletters and communications.
- Foster engagement within the community by facilitating discussions and responding to posts.
- Build and maintain positive relationships with participants and stakeholders.
- Manage and maintain the Circle community platform. Add, update, and remove participant accounts and permissions.
- Maintain mailing lists and distribute communications.
- Update participant records and databases to ensure accuracy.
- Monitor platform activity and troubleshoot basic technical issues.
- Organize digital files and maintain documentation.
- Schedule webinars, meetings, and virtual events.
- Coordinate logistics, including invitations, registrations, and reminders.
- Prepare presentation materials and event resources.
- Provide technical support before and during virtual events.
- Monitor attendance and participant engagement.
- Conduct post-event follow-up, including surveys and distribution of recordings or resources.
- Respond to participant inquiries via email, phone, or online platforms.
- Provide information about programs, events, and resources
- Resolve participant issues or elevate complex concerns when appropriate.
- Track and document inquiries and resolutions.
- Follow up to ensure participant needs have been addressed.
- Compile participation, engagement, and event attendance reports.
- Maintain spreadsheets, databases, and administrative records.
- Prepare meeting agendas, take minutes, and distribute action items.
- Assist with document preparation, filing, and data entry.
- Support scheduling, calendar management, and other day-to-day administrative tasks.
- Monitor deadlines and assist with routine operational activities.
- Diploma in Business Administration or related field.
- 2-years experience providing administrative support, coordinating events, managing schedules,maintaining records, and responding to customer or participant inquiries.
- 2- years experience using Microsoft Office applications, including Outlook, Teams, Word, Excel, and SharePoint in a professional environment.
- Strong written and verbal communication skills.
- Excellent organizational and time-management skills.
- Strong attention to detail and accuracy.
- Ability to coordinate multiple activities and competing priorities.
- Strong customer service and relationship-building skills.
- Ability to work independently while following established procedures. Proficiency with Microsoft Office Suite, Microsoft Teams, SharePoint, and virtual meeting platforms.
- Strong problem-solving and administrative coordination skills.
- Ability to adapt to changing priorities and deadlines.
- Ability to communicate professionally with participants, facilitators, and stakeholders.
