The Law Society of Alberta (Law Society) regulates the legal profession inthe public interest.
In alignment with the Law Society’s vision, mission, and strategic plan, the Tribunal Office provides support to adjudicative tribunals thatoperatewithin the Law Societypursuant tothe Legal Profession Act of Alberta. The office is managed by Tribunal Counsel, who reports directly to the Executive Director of the Law Society.
The Complaint Dismissal Appeals Coordinator (CDA Coordinator) will coordinate all aspects of the Complaint Dismissal Appeals process which occurs on a regular basis. This includes:receiving the appeals, organizing the appeal record, canvassing,scheduling and assigning the appeals to Benchersand providing support to Benchers during the consideration of the appeal.
The CDA Coordinator will alsoassistwith scheduling and coordinating Pre-Hearing Conferences, and other Tribunal Office proceedings as required, including preparing and distributing materials, communicating with participants, andmaintainingrelated records. The CDA Coordinator will be familiar with contentin order toliaise with Benchers,staffand members of the public. In addition, the CDA Coordinator coordinates all Practice Review Committee (PRC) meeting, including scheduling meetings, assigning matters to committee members, preparing materials, overseeing meetinglogisticsand drafting the decisions.
The CDA Coordinator may also provide back-up support to the Pre-Hearing Coordinator and must be capable of performing the Pre-Hearing Coordinator’s duties as required.
Success in this position requires excellent writing skills, attention to detail and time management skills, and the ability to communicate and work effectively in a fast-paced environment.
Key ResponsibilitiesThe Complaint Dismissal Appeals Coordinator will:
- Schedule and coordinate Complaint Dismissal Appeals, PRC meetings, Pre-Hearing Conferences (PHC) and other Tribunal Office proceedings as required.
- Canvass, schedule, and assign matters to Benchers, lay Benchers, adjudicators, committee members, and other participants, as applicable.
- Prepare and distribute materials for Complaint Dismissal Appeal Panel, PRC meetings, PHC meetings and other assigned hearings or proceedings.
- Maintain appeal,PRCand PHCrecord, including tracking key dates, assigneddecision-makers, materials,outcomes and nextsteps.
- Coordinateschedulinglogistics, including calendar invitations, participantcommunications. Hearings/PHC details,deadlines and related follow up.
- Ensure appropriate disseminationof Appeal Panel decision, PRC meeting decision, PHC decisions and other Tribunal Office decisions or outcomes as required.
- Provide back-up to Pre-Hearing Coordinator as needed.
- Have a working knowledge of the Legal Profession Act, Rules of the Law Society of Alberta and Code of Conduct.
- Developandmaintainan understanding of administrative law processes, Tribunal Officeproceduresand confidentiality requirements.
- Prepare and complete required reports along with updating the Law Society database and records.
- Ensure process manuals areup-to-date,identify opportunities for continuous improvement in Tribunal Office processes and procedures, and implement approved changes.
- Maintaina collaborative relationship and coordinate as necessary with other departments,committeesandstaff.
- Maintain professional working relationships with the President, President-Elect, Benchers, committee volunteers, adjudicators, and all Law Society staff.
- Complete other tasks as assigned.
- Administrative or Legal Assistant Diploma, Paralegaldiplomaand minimum of five years of relevant experience
