Role Description
Role SummaryGeneral Volunteers are the backbone of the Black Business Summit. This is a dynamic role where specific duties will be confirmed upon your onboarding, allowing us to match tasks to your skills, interests, and the immediate needs of the event. While ideal candidates will be located in Calgary or the broader Alberta region, we are completely open to volunteers from any location who can assist remotely in the lead-up to the event.
Key Responsibilities- Administrative Support:
Manage the event inbox, respond to routine internal and external emails, assist with calendar management and meeting scheduling, and draft written communications for the organizing team. - Design & Marketing:
Assist with designing event flyers and posters to finalize our visual promotional materials. - Pre-Event Preparation & Setup:
Prepare attendee name tags and event programs. Take the lead in setting up the check-in system and registration desk prior to the guests' arrival. - Event Day Operations:
Execute your assigned on-the-day roles, which will primarily include running registration, ushering attendees, and managing general event logistics. - Event Flow & Vendor Support:
Provide on-the-ground support throughout the summit and the subsequent networking session. Assist in managing the vendor marketplace, which will host between 15 and 25 vendor booths. - Communications & Outreach:
Contact Black immigrant communities and organizations to broaden the summit's reach. Distribute invitations to prospective guests, and send reminder. - Wrap-Up & Teardown:
Execute complete post-event breakdown and cleanup operations once the summit concludes.
- Located in Alberta (ideally Calgary), but we are open to candidates from anywhere.
- Reliable, dependable, and ready to adapt to tasks assigned during the onboarding process.
- Strong team player with excellent, proactive communication skills. Comfortable using online platforms (such as Whats App or Google Drive) for team coordination.
- Able to attend the event in person in Calgary on September 5, 2026.
- Previous experience volunteering for or supporting events.
- Familiarity with the Black immigrant or newcomer community.
July – August 2026: 3-5 hours per week — check-ins, tracking, follow-ups
September 1st to 29th:
Higher intensity (5-10 hours per week)— final briefings, logistics confirmations
September 19 (Event Day):
Full day, in person (approximately 8 AM – 6 PM) for Calgary-based volunteers.
