PROGRAM LOGISTICS COORDINATOR - ROLE CHARTER  STRATEGIC PURPOSE OF

THE ROLE:

The Program Logistics Coordinator is responsible for coordinating andoptimizingthe participants experience within UFAs employee programs. This role manages placements across the UFAs network, coordinates relocation and transitionlogistics, serves as the primary point of contact for participants and field operational leaders, and ensures the successful execution of program activities. Through proactive stakeholder support, process management, and continuous improvement, the role helps create a seamless development experience that preparesparticipantsfor success.

We coordinate placements, relocations, onboarding activities, and assignment transitions by partnering closely with participants, field leaders, and internal stakeholders. Wemonitorprogress, gather feedback,identify opportunities for improvement, and continuously refine processes to ensure the programremainsefficient, scalable, and impactful.

Above all, wefocus on reducing complexity, providing exceptional support, and creating positive experiences for participants and leaders throughout the program journey.
Participants are successfully placed into meaningful development opportunities across the UFAnetwork.
Relocation and transition processes are executed efficiently and consistently.
Participants experience smooth onboarding and assignment transitions.
Field operational leaders receivetimelysupport and communication.
Stakeholders have confidence in the program's coordination and execution.
Participant and leader feedback is actively collected and used to improve the program.

KEY ACCOUNTABILITIES:

Coordinate participant placement into field leadership development assignments across the UFAsnetwork.
Manage placement timelines, assignment details, and participant tracking.
Partner with field operational leaders toidentifyplacement opportunities and program requirements.
Coordinate participant relocation activities and ensure adherence toestablishedprocesses and policies.
Act as the primary point of contact for participants throughout their program journey.
Providetimelysupport and resolution for participant and stakeholder inquiries.
Build strong relationships with field operational leaders and program stakeholders.
Coordinate onboarding activities, assignment transitions, and key program milestones.
Facilitate clear communication between participants, operational leaders, and internal support teams.
Maintain program records, tracking tools, and documentation.
Monitor participant progress and escalation issues or risks as appropriate.
Gather participant and stakeholder feedback throughout the program lifecycle.
Analyze feedback andidentifyopportunities to improve program processes and participant experience.
Recommend and implement improvements that increase efficiency, consistency, and stakeholder satisfaction.
Support reporting and program evaluation activities to inform future program enhancements.
MEASURES OF SUCCESS   Timely and successful placement of participants into development assignments.
Successful completion of relocation and transition activities.
Participant satisfaction and overall program experience.
Field operational leader satisfaction and engagement.
Timely resolution of participant and stakeholder inquiries.
Accuracy and completeness of program tracking, documentation, and reporting.
Program improvements implemented based on participant and stakeholder feedback.
Effective coordination and execution of program milestones and activities.
EXPERIENCE & CAPABILITIES   Bachelor's degree in Human Resources, Business, Operations, Logistics, Education, or a related field is preferred.
3+ years of experience in program coordination, operations,logistics, HR, learning, or related fields.
Experience coordinating multiple stakeholders, timelines, and competing priorities.
Experience supporting field-based and/or geographically dispersed teams.
Strong customer service and stakeholder relationship management skills.
Exceptional organizational and project coordination capabilities.
Strong verbal and written communication skills.
Experience managing data, tracking tools, and reporting requirements.
Ability toidentifyand resolve issues proactively.
Demonstrated ability to manage confidential information with discretion.
Strong attention to detail and process management skills.
Continuous improvement mindset with the ability toidentifyopportunities and implement solutions.
Ability to travel through Western Canada when needed.
