General Summary

The Senior Payroll Administrator is responsible for the end-to-end management of assigned Canadian pay groups, including full-cycle payroll settlement, complex tax administration, statutory filings, and year-end processing. This role serves as a subject matter expert on Workday payroll, ADP, and Canadian payroll compliance, and provides mentorship and guidance to Payroll Administrators on the team. The Senior Payroll Administrator plays a critical role in maintaining payroll accuracy, audit readiness, and regulatory compliance across all HUB International Canadian entities.

Duties & Responsibilities
  • Manage assigned pay groups end-to-end, including pre-payroll preparation, pay settlement, and post-payroll reconciliation; run Final Pay Calculations, execute Regular Pay Settlement, and issue the Payroll Estimate Report to Treasury prior to settlement.
  • Run Pre and Post Payroll Audit Reports for the team; review results, lead the review process, and communicate completion status within established deadlines each pay cycle.
  • Perform Net Pay and Tax Reconciliation following each payroll settlement, ensuring accuracy between Workday results and ADP outputs.
  • Manage Supplemental Pay Settlement across all pay groups and oversee Recent Pay Period Opening and Time Calculation in Workday following each payroll settlement.
  • Handle Tax Inquiries from employees, HR, and Finance, including complex provincial and federal matters.
  • Administer Stock Options Management within the payroll system, ensuring accurate input and settlement of equity-related pay.
  • Lead Benefits EIB Creation and the GRTW (Gradual Return to Work) Update/Removal from Benefits process.
  • Manage Overpayment Net Pay Calculations and coordinate recovery plans with HR and Finance in compliance with provincial ESA guidelines.
  • Perform third-party reconciliations including Workers' Compensation (WCB), Employer Health Tax (EHT), and other statutory remittances; ability to identify and resolve variances between payroll system outputs and remittance records across multiple provincial jurisdictions.
  • Reconcile payroll data against third-party agency accounts (CRA, Revenu Québec, WCB, CNESST) to ensure remittance accuracy, support audit readiness, and maintain compliance with federal and provincial regulatory requirements.
  • Lead all year-end processes including preparation, reconciliation, and filing of T4s and RL-1s, and coordinate annual statutory filings including WCB returns, CNESST, NWT Payroll Tax Annual Return, and provincial EHT true-ups across all applicable jurisdictions.
  • Support CRA Trust Audit requests, coordinating documentation and responses as required.
  • Collaborate with HR, Finance, Benefits, and M&A integration teams on escalated issues and process improvements.
  • Mentor and support Payroll Administrators; provide guidance on daily tasks, audit procedures, and Workday navigation.
  • Contribute to the creation and maintenance of payroll job aids, SOPs, and process documentation.
Job Specifications
  • 5+ years of Canadian payroll experience with demonstrated ownership of full-cycle payroll processing; PCP Certification required, PCP Certification is preferred actively in progress.
  • Strong working knowledge of Workday payroll, EIB processes, and reporting; experience with ADP Smart Compliance is considered a strong asset.
  • Expert-level proficiency in Microsoft Excel (pivot tables, VLOOKUP/XLOOKUP, reconciliation templates).
  • In-depth knowledge of federal and multi-provincial payroll legislation including ESA, CRA remittance requirements, year-end filing (T4/RL-1), and WCB/EHT obligations.
  • Proven experience managing year-end payroll processes, tax filings, and statutory remittances independently.
  • Experience with mergers and acquisitions payroll integration is a strong asset.
  • Excellent analytical and reconciliation skills; able to identify and resolve discrepancies in high-volume payroll environments.
