Position Overview

In the role of a Portfolio Administrator, you hold a pivotal position within the Kinsted portfolio management team. This opportunity allows you to acquire in-depth insights and contribute to various facets of the business. Your responsibilities encompass assisting with portfolio management, research, business development, and relationship management, among other duties. Guided by our Wealth Counsellors and working closely with the Client Service Team, your objective will be to meet the needs of both our team members and clients.

Key Responsibilities

Portfolio Management and Research — 20%

  • Participate in the Investment Committee — stay current on economic and investment issues and events. Bring ideas, concepts, and investment strategies for education, discussion, and training.
  • Portfolio management: portfolio analysis, asset allocation review (suitability), Client Directed position management (review and track transition schedule for clients).
  • Performance attribution, if required.
  • Trading help:
  • Execution of Client Directed trades.
  • Sending instruction on transition assets and follow up on execution.
  • Capital gain/loss selling.

Business Development — 20%

  • Develop a professional working relationship with the Wealth Counsellors at Kinsted and our referral partners.
  • Attend the sales meetings.
  • Be prepared to share sales strategies or participate in the meeting in any way asked.
  • Business creativity — contribute ideas to help close new business, identify opportunities, create proposals/presentations.
  • Prospect/client events — help organize/coordinate client events, help prep presentation material (charts, market data/performance), and attend events.

Relationship Management — 60%

  • Assist the Wealth Counsellors in all aspects of relationship management.
  • Proactive — First Month Service Call, general service calls, follow-ups as needed. Each new onboarding will receive a first month service call.
  • Reactive — ad hoc client needs.
  • Book client meetings. Target: book 10% of outstanding households per month (e.g., if 200 households, book 20 meetings per month).
  • Attend client meetings to take notes, learn, and deliver on any action items. After review meetings, update clients' asset mix.
  • Be the primary relationship manager on smaller accounts — complete reviews, proposals, and draft IPS's and IMA's for these clients.
  • Prep for meetings, including any special reports needed (e.g., yearly capital gain/loss).
  • Send KYC/IPS and follow up; send KYC update instructions to ST for client signature; send instructions to ST for new client accounts.
  • Load Responsive with new client data.
  • Asset allocation reviews and Client Directed transition schedules kept current and accurate for assigned clients.
  • Active, informed participation in Investment Committee discussions.

Business Development

  • Consistent attendance and contribution at sales meetings.
  • Timely delivery of proposal and presentation material to support new business.

Relationship Management

  • Meet the target of booking 10% of outstanding households per month.
  • 100% of new onboardings receive a first month service call.
  • Reviews, proposals, and IPS/IMA drafts for assigned accounts completed within agreed timelines.
  • KYC/IPS updates and new account instructions sent promptly, with minimal follow-up required.
  • Responsive CRM kept current with new client data.

Behaviours, Skills, and Competencies

  • 1-3 years of experience in Investment Management or related field.
  • Experience in client account administration, and proactive client service.
  • Strong teamwork-based approach and a passion for investments.
  • Bachelor's degree related to business, investments, economics, finance, and/or quantitative analysis is preferred.
  • Possession of the CSC.
  • Progress towards achieving the CFA or CIM designation is considered an asset, with the ability to register as an Associate Advising Representative (AAR) with the ASC.
