The Student Recruitment Team under the Office of the Registrar is currently seeking a Full-time Regular Student Recruitment Assistant, Engagement Support.

The University of Calgary Student Recruitment Team is committed to attracting top quality candidates to the institution by utilizing creative and compassionate methods to meet, listen to, inform, and advocate for prospective students from diverse backgrounds. Working within institutional strategies and policies, the student recruitment team is the first point of contact to provide clear advice about how to choose, apply for, accept, and enhance best‑fit academic programs, as well as empowering inadmissible applicants to identify suitable academic pathways to actualize their goals.

Reporting to the Coordinator, Prospective Student Engagement, the Student Recruitment Assistant, Engagement Support provides a critical support function to the broader Prospective Student Engagement and Recruitment Teams. This role is responsible for recruiting, coordinating, and supporting volunteers, as well as providing a variety of in‑cycle engagement and administrative supports that enable the effective delivery of recruitment initiatives. The position works in a fast paced environment with frequent interruptions, shifting priorities, and significant volume during peak recruitment cycles, requiring strong attention to detail and an ability to manage repetitive, time sensitive tasks.

The nature of the work involves coordination across multiple stakeholders, adherence to established procedures, and responsibility for maintaining accurate records and communications related to volunteer and engagement activities. Occasional early morning, evening, or weekend work may be required to meet operational timelines or support time sensitive recruitment activities.

Key Responsibilities

Job functions include but are not limited to:

  • Oversees all functional areas that support volunteer engagement including recruitment, onboarding, scheduling, and ongoing communication.
  • Coordinates volunteer assignments across a variety of activities including campus tours, events, and digital engagement initiatives.
  • Recruits, interviews, trains, and supports a high functioning group of student volunteers; maintains accurate volunteer records using the Better Impact platform, including volunteer registration, tracking, and completion of required training (e.g., OHS orientation).
  • Provides guidance, feedback, and day to day support to volunteers, ensuring a positive and effective volunteer experience.
  • Responds to scheduling changes and last‑minute gaps in coverage to ensure continuity of programming.
  • Conducts regular evaluation of volunteer participation and engagement, and recommends and implements process improvements.
  • Collaborates with campus partners, student groups, and internal stakeholders to build a strong and sustainable volunteer network.
  • Fosters an inclusive, welcoming, and respectful environment for volunteers and prospective students from diverse backgrounds, ensuring equitable participation and a positive experience across all engagement activities.
  • Supports the coordination and delivery of prospective student events including Open House, Advising Days, You at UCalgary, and other engagement initiatives.
  • Assists with the organization and delivery of campus tours, including providing tours as required.
  • Provides front‑line reception and inquiry support (in person, by phone, and via email) to prospective students, families, and visitors.
  • Supports digital engagement initiatives including social media and other armchair recruitment activities.
  • Supports processes related to recruitment systems by creating and updating events and campus tours, including maintaining event portals and registration pages.
  • Reviews and updates pre‑registration forms to ensure accuracy and alignment with event requirements.
Qualifications / Requirements
  • Post‑secondary education in a related field. An undergraduate degree is preferred.
  • Previous experience with event management will be considered an asset.
