Position Summary

Reporting to the Talent Acquisition Manager, the Talent Acquisition Coordinator provides administrative and logistical support to recruitment and talent programs across the organization. The incumbent assists with sourcing and candidate communications, supports recruitment processes, and helps coordinate talent attraction initiatives and events to ensure a positive candidate experience.

Key Responsibilities / Accountabilities
  • Prepare and distribute letters and employment agreements.
  • Coordinate offer approvals and compensation details with Recruiters, HR, and Hiring Managers.
  • Manage candidate communications throughout the offer stage.
  • Ensure hiring documentation is completed accurately and on time.
  • Coordinate start dates and onboarding requirements.
  • Initiate onboarding activities once all required offer and pre‑employment steps are complete.
Pre‑Employment Screening
  • Initiate and manage background checks.
  • Coordinate reference checks.
  • Track completion of all pre‑employment requirements, including drug and alcohol screening for safety sensitive roles.
  • Follow up with candidates and vendors regarding outstanding items.
  • Ensure compliance with company hiring standards.
Recruitment Administration
  • Create and maintain requisitions within Success Factors.
  • Create new hire positions within the organization chart and ensure position details are accurate for requisition creation for recruitment and onboarding purposes.
  • Maintain candidate records and recruitment documentation.
  • Ensure data integrity within the ATS.Support audit and compliance requirements.
  • Generate recruitment‑related reports as required.
Candidate Experience
  • Act as the primary contact for candidates after the offer stage.
  • Provide onboarding information and next‑step guidance.
  • Ensure a positive, professional, and seamless candidate experience through the hiring process.
Recruitment Operations Support
  • Support onboarding coordination with HR and Hiring Managers.
  • Maintain recruitment templates, forms, and process documentation.
  • Assist with recruitment projects and process improvements.
  • Plan and coordinate recruitment events such as career fairs and campus initiatives, including scheduling, logistics, and travel arrangements.
  • Support referral program administration and tracking.
Qualifications
  • 3+ years of recruitment coordination, HR administration, or talent acquisition support experience.
  • Experience managing offer letters and pre‑employment screening processes.
  • Experience with Success Factors or a similar applicant tracking system.
  • Strong attention to detail and organizational skills.
  • Ability to manage multiple requisitions and hiring activities simultaneously.
